Overview
Applications are invited for the following post in the Supreme Court’s Office: Senior Secretary (OPS/SS 3), salary range $1,711,060 – $2,301,185 per annum.
Job Purpose
Under the direction of the Deputy Registrar, the incumbent provides Secretarial and Administrative services to ensure the effective and efficient operations of the Probate Division.
Key Responsibilities
- Prepares and edits correspondences, communications, presentations and other documents;
- Types memoranda, letters and reports;
- Collect and maintain an electronic log of all communication received;
- Maintain and update appropriate records management databases;
- File and retrieve documents and reference materials from filing room;
- Manage and maintain Deputy Registrar’s schedule and appointments;
- Monitor, screen, respond to and distribute incoming communications;
- Answer and manage incoming calls;
- Maintain an efficient filing system;
- Assist with the preparation of the weekly Court List;
- Attend monthly statistics meetings;
- Record and reproduce accurate Minutes;
- Generate requisitions for stationery and supplies;
- Send and receive email communications on Deputy Registrar’s instructions;
- Maintain a message log for the Deputy Registrar and other members of the Division;
- Prepare reports on behalf of the Deputy Registrar;
- Assist with updating the Court Information System after files have been processed by the Deputy Registrar;
- Submit email requisitions and administrative notices issued by the Deputy Registrar;
- Prepare and dispatch outgoing communications.

Minimum Required Qualification and Experience
- Proficiency in typewriting at a speed of 50–55 words per minute and shorthand at 100–120 words per minute, plus three (3) years general office experience
- OR Graduation from an accredited school of Secretarial Studies with proficiency in typewriting at 50–55 wpm and shorthand at 100–120 wpm, plus training in software applications (word processing, database and spreadsheets) and three (3) years general office experience
- English Language at CXC or GCE ‘O’ Level; completion of the appropriate Office Professional Training Course at MIND, plus three (3) years general office experience
- OR Successful completion of the Certified Professional Secretary course; proficiency in typewriting at 50–55 wpm and shorthand at 100–120 wpm; English Language at CXC to GCE ‘O’ Level; training in a variety of computer software applications; three (3) years general experience plus the appropriate Office Professional Training Course at MIND
