Are you the kind of person who loves when a system just works? Do you get a thrill out of clean data, smooth processes, and dashboards that actually make sense? Then you might be our next Advancement Operations Administrator. This role is central to Advancement’s data and systems. You’ll make sure donations are logged and reconciled, records are audit-ready, and our CRM is the trusted source of truth for the whole team. You’ll also help us build out automation and AI-enabled workflows that free up staff time so we can focus on what matters most — supporting military-connected kids and families. And you won’t be tucked away in a corner. You’ll work directly with the Chief Advancement Officer, partner closely with Finance, and support Directors across Development, Government Affairs, and Membership. When they need a report, a dashboard, or a process that makes their jobs easier — you’re the one who makes it happen. Essential Duties & Responsibilities
Keep our CRM (Raiser’s Edge NXT) accurate, organized, and humming. Log donations, reconcile with Finance, and make sure records are audit-ready. Build automation for acknowledgments, stewardship, and renewals — think “set it and forget it.” Create dashboards and reports that make leadership decisions smarter. Support the CAO with data and insights for board, strategy, and partner meetings. Back up the Directors with clean pipelines and reporting across corporate, grants, government, and membership portfolios. Help train teammates, interns, and fellows so everyone uses the system the right way. Keep an eye out for cool new tech or AI tools that could make us even better. Works With
CAO → Provides reporting and insights that power board presentations, strategy, and partner engagement. Finance → Reconciles gifts and keeps records clean for audits. Directors → Keeps data flowing and dashboards clear so they can focus on growing revenue. Membership Specialist & Grants Manager → Supports grassroots campaigns and grant tracking with automation and accurate records. Fellows → Provides quality control and guidance on data entry. Qualifications
Bachelor’s degree or equivalent experience. 1–3 years in nonprofit operations, CRM administration, or data management. Experience keeping data accurate, donations compliant, and records audit-ready. Familiarity with donor databases (Blackbaud, Salesforce, DonorPerfect, or similar). Strong Excel skills; bonus if you’ve dabbled with reporting/visualization tools. Organized, detail-driven, and process-minded (you like rules that make sense). A collaborative teammate with a service mindset. Curious about automation, AI, and ways to make systems work better.
