What We Need: Seeking a highly organized, proactive, and detail-oriented Executive Administrator to provide high-level administrative support to the CEO, President, and Partner team. This individual will manage the day-to-day operations of the Chicago office, while also serving as a key point of coordination for executive schedules, travel, communications, and corporate administrative functions.

This role combines traditional executive assistant duties with office management and corporate administrative responsibilities, requiring someone who thrives in a fast-paced, entrepreneurial environment, and who is comfortable handling sensitive and confidential matters with discretion.

What You’ll Do: Provide comprehensive administrative and operational support to internal and external stakeholders with a high degree of professionalism, discretion, and initiative. Ensure smooth day-to-day operations of the Redmond office and offer direct executive support to company leadership.

Key Responsibilities: Executive Support

Manage daily calendar and scheduling for CEO and President, including meetings, events, and travel

Coordinate travel arrangements and prepare detailed itineraries and expense reports

Prepare and edit correspondence, agendas, reports, presentations, and meeting materials

Screen and manage phone calls, emails, and other communications; prioritize and respond as appropriate

Draft and distribute internal and external communications, including board and partner-level materials

Handle personal and business-related errands, tasks, and events for executive leadership

Maintain and organize executive contact lists, files, and records

Be responsive to communications outside of regular business hours when necessary

Corporate & Administrative Support

Manage and maintain all corporate documentation, business licenses, and legal filings for Chicago, Denver, and regional project locations

Serve as secretary for corporate and partner-level meetings, including preparing agendas and documenting meeting minutes

Support special projects, events, and corporate initiatives as assigned by leadership

Maintain discretion and confidentiality in handling sensitive information and documents

Coordinate internal and external meetings, including logistics and documentation

Manage coordination and distribution of Cubs season tickets

Office Operations

Manage guest and visitor services: greet guests, ensure proper check-in procedures, and maintain a professional front-of-house experience

Oversee office supply inventory and procurement of food, beverages, and general supplies

Manage office deliveries, mail, and logistics

Coordinate with Marketing & HR for branded swag & collateral orders

Maintain stock of branded swag and collateral

Support meeting setup and breakdown, including food and beverage coordination

Ensure a clean, organized, and welcoming office environment

Coordinate with Finance & Accounting for Overhead invoicing and budget management

Coordinate facility maintenance as needed with Building Management and Operations

What You’ll Bring:

Minimum 5 years of experience supporting C-Level executives in an administrative capacity

Strong organizational skills with high attention to detail

Excellent verbal and written communication skills

Proven ability to manage multiple priorities in a fast-paced environment

Advanced proficiency in Google Enterprise and similar Office Suite software

Discretion and sound judgment when handling sensitive information
