Executive Assistant to the CEO & CMO
Location: San Francisco, CA (Hybrid: 1 day remote, 4 days onsite)
Salary Range: $105,000 – $130,000
A dynamic executive team is seeking a highly organized and proactive assistant to support two senior leaders in a fast-paced, high-impact environment. This role is essential in helping the executives stay focused on strategic priorities by managing daily operations, communications, and logistics.
Role Overview
The Executive Assistant will serve as a key partner to the CEO and CMO, handling complex scheduling, coordinating travel and meetings, and ensuring smooth communication across internal and external stakeholders. Discretion, adaptability, and problem-solving are critical to success in this role.
Key Responsibilities
- Manage and prioritize two busy executive calendars, ensuring alignment with organizational goals.
- Schedule meetings, track deadlines, and coordinate daily workflows.
- Arrange detailed domestic and international travel itineraries, including transportation, lodging, and logistics.
- Organize internal and external meetings, executive sessions, and client events.
- Collaborate with office managers across locations for on-site coordination.
- Draft, edit, and finalize presentations, reports, agendas, and communications.
- Prepare and reconcile expense reports for senior leadership.
- Ensure timely processing through internal systems.
- Maintain confidential filing systems and assist with research and special projects.
- Track progress and follow-ups on key initiatives.
- Act as liaison between executives and internal/external contacts.
- Protect executive time and ensure effective communication flow.
Qualifications
- Bachelor’s degree or equivalent experience
- 3–5+ years supporting senior executives in a fast-paced environment
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Proficiency in Microsoft Office Suite and relevant tools
- High level of professionalism and discretion
- Proactive mindset with strong problem-solving skills
- Ability to build rapport across diverse teams
- Positive attitude and strong work ethic
