Our client, a Global Fortune 50 organization and one of the world’s largest distributors of healthcare systems, medical supplies & pharmaceutical products, seeks an accomplished Executive Assistant.
Candidate must be authorized to work in USA without requiring sponsorship.
Duration: 3 - 4 months contract with possibility of extension or conversion to FTE role.
Notes
- Work schedule: Mon – Fri, 9:00 AM – 5:00 PM Eastern Time and some after-hours work to accommodate time zones.
- Hybrid role: candidate must be willing/able to be in office up to 3-4 days per week.
Job Description
- Looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s Chief Technology Officer and Chief Data Officer within the organization.
- Executive Assistant’s responsibilities include managing calendars, making travel arrangements, preparing expense reports, ad hoc special projects, and assisting within our Boston-based office.
- To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance.
- Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
- Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company.
- Sustain a daily calendar of meetings and events.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
- Arrange travel (including complex international trips) and accommodations for executives; prepare and approve expense reports.
- Screen and triage emails in executive’s inbox; respond to requests by gathering and providing information.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
- Draft and prepare correspondence for internal announcements, and organizations that the executive is involved with.
- Manage the Executive's contacts.
- Be responsive to emails/texts/phone calls; contact outside normal business hours during travel periods may be needed.
- Use discretion, confidentiality, and good judgment to handle C-Level matters.
- Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
- Conserve the Executive's time by reading, researching, collecting information as needed, in advance.
- Complete ad hoc projects as assigned – such as offsite team meetings and internal events.
- Organize complex calendars and schedules, resolving any scheduling issues.
- Maintenance of Boston office to include, but not limited to, office equipment (kitchen appliances, suite copier, and audiovisual); schedule office repairs as needed; maintain business and kitchen supplies; provide on-site catering support for Insights and Technology meetings, as well as hosted guest meetings; register all guests with building security and assist with new badge requests for office and building.
- Provide general assistance to visitors at the Boston office, as needed.
Qualifications
- 6+ years of related experience supporting C-Level executives in an executive assistant role.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Advanced proficiency in Concur and previous experience utilizing Concur for travel and expense management.
- Ability to communicate effectively and professionally.
- Flexible hours as dictated by the needs of business for projects and meetings.
