Overview
HPE Capital Management II is seeking a highly organized, proactive
Executive Personal Assistant
to provide direct support to the Managing Partner and oversee administrative operations and personal support. This role requires a professional who can balance complex scheduling and executive-level support with personal and operational management responsibilities in a fast-paced, high-touch environment.
The ideal candidate will be detail-oriented, resourceful, and possess exceptional judgment, discretion, and communication skills.
Key Responsibilities Executive & Office Management Support
Manage complex scheduling and calendar coordination for the Managing Partner, firm-wide activities and personal calendar.
Coordinate communication and correspondence for the Managing Partner, including internal and external contacts and support email management.
Manage all travel logistics, including detailed itineraries, accommodations, and ground arrangements.
Prepare, track, and reconcile expense reports in coordination with the finance team.
Plan and coordinate yearly event.
Manage special projects and assist with data entry and tracking for ongoing firm initiatives.
Oversee daily office operations, including supplies, deliveries, and mail distribution.
Serve as the primary liaison with building management (Douglass Emmett, ABM) and external vendors.
Troubleshoot IT and internet issues in coordination with external support vendors.
Manage office security systems, digital key access, and furnishing or improvement projects to maintain a professional and efficient workspace.
Personal Support
Manage and coordinate all family travel logistics including itineraries, accommodations, and on-the-ground details.
Oversee personal and household expense management, including bill payments and credit card tracking.
Coordinate family errands requested and vehicle maintenance (cleaning, service scheduling).
Manage vendor coordination, and household project oversight, including property visits and ongoing home maintenance for home in LA and Cincinnati.
Qualifications
5 years of proven experience as a Personal Assistant, Executive Assistant, or in a comparable high-level support role.
Demonstrated ability to manage multiple priorities with professionalism, confidentiality, and discretion.
Strong organizational, analytical, and problem-solving skills.
Exceptional attention to detail, accuracy, and follow-through.
Flexible and adaptable, with the ability to thrive in a fast-paced environment.
Proficiency in Microsoft Office Suite.
Excellent written and verbal communication skills.
Ability to travel occasionally to LA and Cincinnati (approximately 5%).
