Executive Assistant – Department of Natural Resources

Overview

The Department of Natural Resources (DNR) invites applications for an Executive Assistant. The position serves as the principal assistant with delegated authority performing high‑level administrative support duties for a Deputy Supervisor, Director, Assistant Deputy Supervisor, or Deputy Director. The role reports directly to the Chief Operating Officer and functions as a member of executive management in the Office of the Commissioner of Public Lands.

Responsibilities

  • Provide direct support to the principal(s); plan, organize, and implement all administrative activities such as records management, report preparation, coordination of calendars and scheduling, meeting management, logistical coordination, and presentation preparation. Use independent judgment to accomplish assignments or solve problems.
  • Assist agency leadership in preparing complex schedules, plans, summaries, recommendations, reports, research, and abstract information supporting data preparation for meetings, presentations, and work projects.
  • Perform a wide variety of complex tasks assisting with and coordinating aspects of the division services and leadership roles for agency and external boards or committees, providing project, services, and contracts management support, technical assistance and specialized consultation to the division and community stakeholders, and recommending resolutions for problems and issues related to the division, projects, and services.

Required Qualifications

  • Five years of administrative support experience.
  • Working knowledge of state government operations.
  • Proficiency in the use of the Windows Office Suite.
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to multitask, prioritize work for self, balance workload, meet short deadlines, and work independently in a fast‑paced environment with strong attention to detail.
  • Ability to work with sensitive information, public policy, and personnel issues while maintaining confidentiality.
  • Ability to anticipate executive needs, work well in stressful situations, and respond appropriately to emergencies.
  • Experience preparing high‑level documents, spreadsheets, and presentations.
  • Ability to comprehend and interpret complex discussions and independently compose clear, accurate, and concise notes.
  • Experience working with SharePoint.
  • Ability to maintain effective working relationships with agency staff, other government entities, and the public.
  • Understand organizational structure and mission, and the functions of the department.
  • Maintain confidentiality.
  • Use tact and diplomacy.

Desired Qualifications

  • Three years of administrative support at the executive assistant level.
  • Passion for improving the social, economic, and environmental health and well‑being of communities across Washington State.
  • Experience working with elected officials and staff at the state and federal levels.
  • Experience navigating the legislative process, tracking legislation, and interacting with legislators and legislative staff.
  • Experience working with elected tribal officials, executives, and staff.
  • Experience with state contract administration.
  • Bachelor's degree.

Special Requirements and Conditions of Employment

  • This position is a hybrid, working in the Natural Resources Building, and may be allowed to telework. Demands for this job may require the employee to function away from their normal workspace, both on and off‑site.
  • Travel for this position is minimal, but may occasionally require in‑state travel for meetings, etc.
