Job Summary

As an Administrative Support Specialist, you will coordinate key administrative functions, manage department communications, and support purchasing, budgeting, and scheduling processes. This is a long‑term contract opportunity with the potential for hire by the client.

Shift Information

  • Monday to Friday, 8:00 AM – 5:00 PM

Required Education and Experience

  • High school diploma or GED
  • 3–5 years of administrative experience
  • Experience with purchasing (indirect or similar experience accepted)
  • SAP experience

Preferred Education and Experience

  • Manufacturing background
  • German language proficiency (read, write, and speak)

General Requirements

  • Ability to manage calendars and coordinate meetings
  • Experience preparing and organizing documentation
  • Strong communication and coordination skills
  • Ability to handle confidential information
  • Detail‑oriented with organizational and multitasking capabilities

Essential Functions

  • Manage department calendars and coordinate internal topics
  • Attend and record department meeting minutes
  • Align with central team in Germany on administrative matters
  • Perform and coordinate administrative tasks including document preparation, word processing, and file maintenance
  • Prepare records such as agendas, notices, and minutes for weekly management meetings
  • Assist with department budget, training records, travel arrangements, expense reports, and office supply orders
  • Coordinate and support management workshops
  • Maintain and update department web page
  • Create purchase orders and process invoices through Accounts Payable
  • Manage special department projects as assigned
  • Schedule and organize meetings and video conferences
  • Support management with task completion and target achievement
  • Monitor budget variance reports and SAP activities
