Job Overview At the State of Minnesota, employees play a critical role in developing policies, providing essential services, and working to improve the well‑being and quality of life for all Minnesotans. The Court of Administrative Hearings (CAH) is seeking to hire a Legal Administrative Assistant in its St. Paul office. CAH is the largest of three Executive Branch Courts with more than 75 full‑time equivalents located in St. Paul and Duluth and has exclusive, bench‑trial‑level jurisdiction in hearings for over 250 state agencies and local units of government.

Responsibilities

Draft, proofread, edit, and finalize complex legal documents for judges or staff attorneys.

Ensure the quality of legal documents for content, grammar, spelling, and proper citation format.

Maintain accurate and complete data in CAH case‑management systems.

Maintain working knowledge of hearing requirements.

Receive and direct calls and emails providing legal support to judges, attorneys, litigants, and the public.

Minimum Qualifications

One (1) year of experience providing legal administrative support.

Customer‑service skills sufficient to respectfully engage with clients, coworkers, and customers, including handling difficult or complex problems and resolving escalated complaints or disputes.

Ability to prepare, edit, and finalize legal documents, emails, memos, reports, and other written communication free of errors and in proper format.

Data entry/database management skills sufficient to accurately input, verify, and edit electronic data.

Ability to use legal terminology sufficient to draft a variety of legal documents and maintain case files/records with accurate and complete information.

Preferred Qualifications

Completion of a legal secretary, legal administrative assistant, or related post‑secondary training program or certification; OR two or more years as a legal secretary.

Experience in administrative law and with eFiling.

Experience creating ADA‑compliant and accessible documents.

Proficiency in Microsoft Office products (Word, Excel, Teams).

Physical Requirements This is a sedentary position that occasionally requires moving and transporting items such as file folders, laptops, or accounting boxes. The employee may need to maintain a stationary position for long periods while carrying out job duties.
