Job Summary The Administrative Support Specialist III serves as a senior-level administrative professional providing executive and analytical support to Washington Headquarters Services (WHS) Directorates and senior DoD leadership. The Specialist oversees front office operations, manages correspondence and task management systems, and develops processes to improve efficiency. This role requires extensive experience supporting senior government executives, exceptional communication skills, and the ability to manage sensitive and classified information in a fast-paced, high-visibility environment.
Key Responsibilities
Lead and coordinate all administrative operations within assigned WHS offices or directorates.
Serve as the primary administrative liaison for senior leadership, ensuring effective communication, scheduling, and coordination of high-level activities.
Manage and resolve complex scheduling and priority conflicts for senior officials.
Draft, edit, and prepare executive-level correspondence, reports, and presentations for senior review and dissemination.
Oversee task management systems (e.g., CATMS) to ensure all correspondence, actions, and deliverables are completed accurately and on time.
Develop and implement standard operating procedures (SOPs) and process improvements to enhance workflow efficiency and effectiveness.
Analyze administrative data and prepare reports, executive summaries, and special briefings.
Coordinate logistics for classified and unclassified meetings, including visitor access and the secure handling of documents.
Mentor and guide junior administrative staff; may serve as lead or task coordinator.
Required Qualifications
High school diploma or equivalent required; Bachelor’s degree in Business Administration, Management, or a related field preferred.
Minimum 7–10 years of progressively responsible administrative experience supporting senior DoD or federal executives.
Expert proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Access, Project) and Adobe Acrobat.
Experience with CATMS, TMT, or similar correspondence/task tracking systems.
Exceptional written and verbal communication skills, with demonstrated ability to prepare formal DoD correspondence.
Strong analytical and problem-solving abilities.
U.S. citizenship and an active, SECRET Security Clearance is required.
