Job Summary
Administrative Assistant will support a fast-paced Research Department within an investment banking environment, focusing heavily on travel and expense (T&E) administration. The role involves preparing and processing expense reports, managing reimbursements through the Coupa T&E system, and ensuring compliance with corporate travel policies. This position is ideal for an experienced administrative professional with exceptional organizational skills, attention to detail, and the ability to thrive in a high-performance corporate environment.
Key Responsibilities
- Prepare and submit T&E (travel and expense) reports for analysts and associates within the Research Department.
- Ensure all expense documentation complies with company policy and audit standards.
- Maintain organized financial records and follow up on pending reimbursements or approvals.
- Serve as a resource for team members regarding Coupa system usage and expense procedures.
- Manage and track receipts, travel documentation, and related data entry tasks.
- Coordinate administrative support for department operations, including scheduling and stakeholder communication.
- Proactively identify issues, request guidance when necessary, and ensure accuracy across all deliverables.
Required Experience
- 5–7 years of administrative or research assistant experience.
- Demonstrated experience preparing heavy expense/T&E reports in a corporate or financial setting.
- Strong working knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, Word).
- Experience in investment banking or financial services required.
- Proven success in fast-paced, high-pressure environments with strict deadlines.
Nice-to-Have Experience
- Experience using Coupa or similar expense management software.
- Post-secondary education (Bachelor’s Degree preferred).
- Prior experience supporting a research or front-office team in a corporate environment.
- Interest in growth toward an Executive Assistant (EA) role.
