Under the direction of the Director of Business Services, this position plays a key role in supporting the district’s business operations. This professional role focuses on system-level data analysis, financial reporting, and the strategic oversight of capital and human resources. The incumbent will extract and interpret complex data from various district platforms to inform budget decisions and ensure accurate reporting and asset tracking. Robust analytical skills, proficiency with data extraction tools, and strong technical expertise are required. Experience in foundational business office processes such as general accounting and payroll administration is preferred but not required to provide a solid understanding of data inputs. Key Responsibilities
Provide system administrator support for all financial systems and business software applications. Assist with implementation and maintenance of other business-related systems. Provide training and assistance to employees related to these systems. Manage and maintain the district’s position control system to ensure accurate tracking of all employee positions and FTE. Assist in the preparation and monitoring of the annual staffing plan and budget by verifying position counts and FTEs by location and funding source. Support compliance with local, state, and federal regulations related to staffing and funding, including grants and other programmatic requirements. Oversee tracking, inventory, and lifecycle management of all district-owned assets, including furniture, equipment, technology, and instructional materials. Develop and implement procedures for acquisition, deployment, maintenance, and disposal in compliance with relevant regulations. Oversee asset movement, relocation, and reassignment across departments and sites. Provide staff with asset-related guidance and inventory support. Analyze, reconcile, and assist in the preparation of quarterly and annual reporting (e.g., 941s, W-2s, 1099s, Quarterly Medicaid Reporting, Quarterly Unemployment Transmission to the State of CT). Assist with annual pension reporting to the City and Board of Education employees. Assist in preparing state reports (e.g., EFS system, ED012, ED017, ED021). Assist in the preparation and analysis of monthly expenditure reporting and other business office tasks requiring data extraction from financial systems. Provide support to the Talent Management & Development department in the use of the financial system. Provide ongoing training to HR staff to increase utilization of the Alio Human Resources module. Prepare reports, seniority data, and annual salary calculations for contract letters for certified staff. Supervision and oversight of Business Office staff: supervise, train, and lead business office staff to ensure efficient and accurate district fiscal operations, including payroll, accounts payable, grant management and reporting, centralized purchasing, and core bookkeeping practices. Provide technical expertise to the Director of Business Services and Assistant Superintendent of Business and Operations; assist in policy, procedure, and program development. Proactively adapt systems, processes, and controls as organizational needs evolve. Perform other related duties as assigned by the Director of Business Services or the Assistant Superintendent of Business and Operations. Qualifications
Education and Experience 3–5 years of experience in system-level financial data analysis, resource management, platform administration, or business process support. Prior experience in general accounting or payroll processing is helpful. Expertise in Excel for data analysis and using tools like Microsoft Query (or similar) for extracting, transforming, and managing complex financial and resource data. Familiarity with Google Suite tools is required. Proven experience in financial and asset management applications, contributing to accurate system-level reporting and oversight of tangible capital assets and human capital resources. Excellent attention to detail and strong organizational skills for ensuring data accuracy. Ability to work independently to meet deadlines and collaborate with district staff, vendors, and the public. A bachelor’s degree in Data Science, Business Analytics, Public Administration, Finance, Accounting, or a related field is preferred but not required. Knowledge, Skills And Abilities Ability to work under time constraints and adapt to changing priorities. Ability to plan, organize, prioritize, and work independently. Ability to maintain confidentiality and operate with integrity. Attention to detail and accuracy over extended periods. Clear written and verbal communication skills. Discretion to determine when to act independently or refer to a supervisor. Ability to cooperate with district staff and the public.
