Job Summary The University of Colorado School of Medicine's Office of Medical Education (OME) seeks a detail-oriented professional to join the Graduate Medical Education (GME) team as a GME Business Services Professional. This full-time staff position provides high-level administrative support to the GME Office, Directors, and Associate Dean, including complex scheduling, confidential communications, credentialing/licensing support, travel and procurement management, and streamlining faculty travel processes. The role also oversees GMEC operations, event planning, and recordkeeping for resident/fellow remediation; supports faculty recruitment; acts as a backup for core processes; and assists with office initiatives and special projects (e.g., renovations, dashboards).

Supervision Received: Reports to the Office of Graduate Medical Education Business Services Program Director with dotted reporting to the Associate Dean of Graduate Medical Education. Works with the OME Business Services team to ensure adherence to business and procurement procedures.

Supervision Exercised: This position has no direct staff supervision, though supervision of student workers may occur as appropriate.

Key Responsibilities

Administrative Support (Associate Dean & Directors): Manage complex calendars, meeting logistics, and materials preparation across multiple stakeholders.

Administrative Support: Draft and manage professional communications, confidential documentation (credentialing, licensing, CME, CVs).

Administrative Support: Screen, prioritize, and track incoming requests to ensure timely follow-through.

Procurement & Travel: Coordinate faculty and leadership travel (flights, hotels, cars) and reconcile expenses in Concur.

Procurement & Travel: Maintain compliance with university policies and develop streamlined travel processes/templates.

Procurement & Travel: Provide timely itineraries and documentation to support travelers.

GMEC Support: Prepare agendas, presentations, minutes, and records for GMEC and related committees.

GMEC Support: Coordinate annual meeting schedules, speaker rosters, and documentation for compliance.

GMEC Support: Compile and synthesize meeting data for reports and board presentations.

Project & Event Management: Lead planning for GME-sponsored events (e.g., retreats, Gold Humanism Society).

Project & Event Management: Manage project timelines, data compilation, and reporting for GME leadership.

Project & Event Management: Oversee logistics including scheduling, venues, communications, materials, and vendor coordination.

Remediation/Disciplinary Support: Maintain records for remediation, probation, suspension, and termination cases; draft letters; track statuses; generate reports for monthly review and compliance.

Remediation/Disciplinary Support: Coordinate with CPHP, legal, and GME leadership on disciplinary actions and hearings.

Other Duties: Support faculty/staff recruitment and onboarding; serve as backup for business operations; contribute to professional development and other office initiatives.

Work Location Hybrid

– This role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings. Additional on-site days may be required. Please see campus-wide policy for details.

Qualifications Minimum Qualifications:

Intermediate Professional

A bachelor’s degree in a related field from an accredited institution

One year of professional administrative experience in healthcare administration, higher education, or a related field

Senior Professional

A bachelor’s degree in a related field from an accredited institution

Two or more years of professional administrative experience in healthcare administration, higher education, or a related field

Substitution: A combination of education and related experience may substitute for a bachelor’s degree on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

Experience in graduate medical education or an academic medical setting

Experience with ACGME and Graduate Medical Education

Experience with MedHub Residency Management Software

Experience with electronic databases/spreadsheets in a higher education setting

Knowledge, Skills and Abilities:

Ability to learn and interpret policies and procedures

Screening and Compensation Screening of applications begins; preference for complete applications received by 10/21/2025. Anticipated pay ranges: Intermediate Professional $54,383-$69,175; Senior Professional $58,792-$74,784. Overtime eligibility may apply depending on level. Total compensation includes benefits beyond base pay.
