Position Summary
The Business Officer’s main purpose is to serve the administrative needs of the Biology department, its expanding numbers of full-time faculty, its supported graduate students, and undergraduate student employees working in the research labs of the Department.
Management of Human Resources issues for the Department : 30% effort
Supervisory roles in the Department : 30% effort
Management of financial operations : 20% effort
General administrative support to the Biology office and the Department Head : 20% effort
Key Responsibilities
Management of Financial Operations
Manage detailed tracking of faculty and staff salaries.
Manage TSR (temporary salary reserves) requests from Dean’s Office to support expansions in class offerings. Coordinate BIO Grad Director’s allocations for graduate stipends, including tuition waivers.
With permission as needed from Department Head, have oversight authority on Department’s state funds.
Per Department Head’s recommendation, assemble special budget requests, including one-time funds, to Dean.
General Administrative Support to the Biology Department and Department Head
Provide lead administrative support for Departmental training grants and reports to the College of Arts & Sciences and University.
Direct speaker preparations and honoraria payments.
Compose and distribute communications produced by the Department Head.
Manage the calendar of the Department Head. Prioritize the Department Head’s mail by sorting and noting due dates.
Provide support for the Department’s role in the nanosciences initiative with NCA&T State University and the UNCG Plant and Pollinator Center.
Supervisory Role in the Department
Supervise and oversee training of all administrative staff in the Biology Office.
Plan overall operations of the Biology Office, including staff members’ daily responsibilities and leave management.
Review and certify time sheets and paperwork from all SHRA employees and all student assistants.
Collect and organize teaching and research annual budgets from faculty and staff and present these for Head’s review.
Manage the Department’s budget request process. Work closely with Head in performance reviews of office-support SHRA employees.
Direct office support staff in conducting student rankings of faculty teaching efforts.
Conduct staff meetings for office staff and, when needed, collaborate with and coordinate information with manager of lab assistants and other managers for the purpose of keeping all staff members informed.
Management of Human Resources Issues for the Department
Prepare, review, monitor all PD7/EAF paperwork and Banner HR EPAFs for all EHRA/SHRA payroll functions for academic year and summer.
Coordinate EHRA and SHRA searches, including compliance with affirmative action permissions and advertisements.
Secure all paperwork and credentials needed from job candidates.
Manage preparation of promotion and tenure dossiers.
Prepare research leave and off‑campus‑assignment forms. Collect and manage reimbursements for search‑related expenses.
Inform faculty and staff of relevant changes in policies and procedures of UNCG Human Resources system.
Manage the onboarding process for all new SHRA and EHRA employees.
Minimum Qualifications
Bachelor’s degree in Business Administration, Public Administration, or related business area and 2-4 years of experience; or equivalent combination of training and experience.
Preferred Qualifications
Knowledge of Banner.
Supervisory experience.
Experience working in a university environment.
Experience with office management.
Excellent communication skills.
