Senior Assistant Property Manager (CRE)
Job Description Summary
Under the supervision of the Property Manager, the Senior Assistant Property Manager assists in all areas defined as part of the Property Manager job description. This management role directly and indirectly supervises building staff, operations, and coordinates various functions. Primary responsibilities include ensuring client facilities generate satisfactory cash flow, maintaining the property in accordance with client standards, and achieving customer satisfaction.
Responsibilities
Manage the building staff in the absence of the Property Manager or General Manager, performing all managerial functions as directed.
Handle all building correspondence to and from clients, tenants, and vendors as directed.
Prepare and maintain orderly property files, including leases and contracts.
Obtain aging reports and follow up on delinquencies using company or client policies.
Process invoices in accounting with appropriate backup according to established procedures.
Prepare lease abstracts for all tenants and monthly rent roll for management review.
Coordinate tenant move‑ins and move‑outs, including furniture delivery and pickup.
Oversee tenant requests for above‑standard work, obtaining estimates, providing proposals, releasing work, and invoicing tenants.
Maintain work order and purchase order systems.
Develop and maintain a comprehensive Tenant Service Package, including handbooks, anniversaries, gifts, events, newsletters, and training programs.
Update and maintain office procedures in the Property Operation’s Procedure Manual.
Ensure Certificates of Insurance for tenants and vendors are current.
Process management and maintenance staff hours, expense reports, and check requests for approval.
Process above‑standard tenant bill‑backs for electrical usage, after‑hours HVAC, and similar charges promptly.
Prepare aspects of annual budgets, CAM reconciliations, and monthly financial reports, and prepare bank deposits at the on‑site management office.
Lead regular inspections of properties with janitorial, landscape, and other service providers.
Oversee performance of all service contractors.
Oversee aspects of tenant improvement work with management oversight.

Important Experience 2+ years of real estate property management or related experience
Additional Eligibility Qualifications
Active Real Estate license in the state worked in OR RPA or CPM professional designation(s)
Basic understanding of computer software programs and base building systems
Basic understanding of the reconciliation process for CAM, insurance, and real estate taxes, and lease terms
Ability to assign tasks and manage others’ workloads
Work Environment This job operates in a professional office environment. It routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Regular travel between properties in varying weather conditions is required.
Physical Demands Travel between floors, climb stairs, and travel outside between buildings in varying weather conditions. Sit or stand for 85% of the time and regularly use hands to operate office machinery.
