Job Description Office Administrator. (Job Number: 252141)

Organization Geography & Environmental Sustainability Department

Location Full-time, Onsite, 8 AM - 5 PM Monday - Friday, Norman Campus

Compensation Targeted Salary $40,000 annually. Benefits provided.

Responsibilities

Admin and financial assistance to department.

Primary contact for facility issues.

Manage all departmental accounts.

Reconcile monthly financial reports; maintain department budget.

Coordinate with SBSC for invoice payments.

Cash deposits into special accounts.

Pcard approval; oversee OU Foundation funds.

Analyze financial procedures; recommend changes.

Payroll coordination and oversight.

Approve paper PAF, EPAF, EDR, travel.

Project coordination requiring initiative.

In-house publications, public relations functions.

Personnel issues; onboarding of new employees.

Request information from various offices.

Training of office personnel.

Computer access security.

Work with Human Resources Department.

Supply inventory, calendar, meetings, award committees.

Problem solving.

Policy development, implementation, interpretation.

Event coordination.

Staff supervision.

Hiring, training, evaluating, delegating tasks.

Timely work completion.

Records maintenance.

Faculty support: purchases, travel, liaison, policies, awards, funding requests, reimbursements.

Various duties as needed.

Qualifications

Bachelor’s degree required.

3 years of experience in office management, administrative coordination, or related roles.

Working knowledge of office procedures and general fund management.

Familiarity with budget management, procurement processes, and financial reporting.

Proficient in Microsoft Office Suite (Outlook, Excel, Word).

Excellent interpersonal skills.

Build and maintain productive working relationships.

Efficient and timely task completion.

Multitask and self‑motivated.

Strong verbal and written communication.

Advanced computer skills with business software.

Detail oriented for accuracy of data and information.

Highly organized and handle multiple projects and deadlines.

Physical Requirements

Sit for prolonged periods.

Communicate effectively and listen.

Engage in repetitive motion.

Standard office environment.

Supervision 1-5 Staff and student employees.
