Position Summary For Behavioral Health: Process requests for medical records and itemized bill copies in a timely and efficient manner, ensuring accuracy and providing the highest quality customer service. Safeguards and protects the patient’s right to privacy by validating written authorizations and ensuring that only authorized individuals obtain medical records and other PHI with proper authorization, as outlined by Health Information Management Department policies, HIPAA, Federal and State Statutes. All requests are entered in Epic to ensure timely processing and tracking. Position Responsibilities Key Areas of Responsibility Processing Hartford Healthcare At Home (HHCAH) Requests – Receives, sorts, opens and reviews all documented requests; to ensure HIPAA compliance, logs all cases in Epic’s Release of Information (ROI) tracking module, determines appropriateness of all requests and processes them within 2-5 days. Maintain adherence to HHCAH ROI policies and procedures. Maintain fewer than 10 requests on the 30-day report. Interpret and adhere to HIPAA and applicable HIM Departmental policies. Quality Assurance – Performs self-quality checks to ensure accuracy of the release, confidentiality, proper tracking in HHCAH ROI database and appropriate invoicing. Customer Service – Communicates with internal/external customers (patients, attorneys, law enforcement, auditors, insurance representatives, Hartford HealthCare team) to provide high-quality service via phone/fax/mail or in-person. Respond to emails and voicemails promptly. Answer incoming calls, direct calls, assist walk-in visitors and requisition supplies. Education – Participate in educational sessions regarding HIPAA or other regulatory requirements and ROI training programs. Performs other duties related to the daily functioning of the ROI unit. Qualifications Education High School Diploma or Equivalent required Experience Minimum: 2-3 years’ clerical experience in a healthcare setting; knowledge of release of information regulations (Federal and State); good written and verbal communication skills. Preferred: 2-3 years’ experience in Health Information Management; Medical Terminology coursework; knowledge of release of information regulations; good communication skills. Language Skills Must be able to speak, read and write English. Second language abilities are a plus. Knowledge, Skills And Ability Knowledge of release of information regulations (federal and state). Computer literate with Microsoft Office Suite, Email and other software. Excellent verbal and written communication skills.
