Greets visitors and directs to appropriate destination. Answer and direct telephone calls to the appropriate department or person. Performs general clerical duties such as sending emails, faxes, making copies, typing, scanning documents and entering data into the computer. Collect and sort data to be put into files and create corresponding records. Add new materials to file records and ensure that any discrepancies are handled immediately. Ensures integrity and security of files and sensitive information. Maintain retention and archiving of files according to DHA retention and archive procedures. Ensures files are maintained in an organized manner to support client confidentiality and file integrity. Assign labels to each file in accordance to the clients’ assigned properties. Retrieve files and records on the specific requests of the Admissions staff or Property Managers, and Compliance Department by following file sign out/ sign in procedure, documenting reason and person requesting file. Take telephone calls for information and ensure that only authorized information is provided. Receive, sort and distribute incoming correspondence to intended staff members in the Admissions Department. Knowledge and Skills for Success

A successful Administrative Assistant has… Knowledge of the principles of record keeping, preservation and records. Knowledge of business and personal computers and various software applications. Skill in assessing and prioritizing multiple tasks, projects and demands. Skill in operating a personal computer utilizing a variety of business software. Skill in working under pressure of deadlines, and establishing and maintaining cooperative working relationships with other DHA staff. Effective verbal and written communication skills and the Ability to interact with people of all backgrounds Qualifications

High School Diploma or GED Equivalent One (1) year of administrative/clerical experience Or an equivalent combination of education and experience How to Apply
