Overview
Office Assistant – Outpatient Rehabilitation Department at White Plains Hospital. Responsible for providing office assistance (scheduling, patient greeting, prescription/insurance management).
Responsibilities
- Adhere to WPH Performance Standards, Policies and Behaviors.
- Provide office assistant and secretarial functions: greet patients, check in, communicate arrival to clinical staff.
- Schedules new and follow-up appointments in EPIC through effective collaboration with clinicians.
- Collect co-payments.
- Create and maintain patient files; assist with copying, scanning, faxing documentation, prescriptions to facilities and agencies on behalf of patients.
- Assist with insurance authorizations and prescription management.
- Act as an ambassador for the department and project a positive image.
Education & Experience Requirements
- High School Diploma/GED.
- College or Business (Secretarial) School graduate preferred.
- Minimum 1‑3 years experience.
- Bilingual Spanish highly preferred.

Physical/Mental Demands & Work Environment

- Must be able to perform word processing/computer work and use of transcription equipment for extended periods of time.
- Able to move quickly throughout the work environment and the hospital.
- Ability to follow through on assignments without supervision.
- Ability to take initiative and be creative with workflow.
- Ability to communicate effectively, create form documents and compose correspondence.
- Ability to monitor flow of traffic (visitors, meetings, phone calls) and assess priorities.
- Ability to assess telephone calls as to their importance and refer to appropriate person, department or resource.
