Position Summary Title:

Student Services Program Coordinator – temporary contract, 12‑month full‑time (40 hours/week) in‑person.

Location:

Orange Coast College, Costa Mesa, CA.

Schedule:

Monday–Friday 8:00 a.m.–5:00 p.m. with occasional extended hours or weekends as needed.

Employment Type:

Classified, internal only (current active employee of the Coast Community College District). No external applicants are eligible.

Salary Schedule:

EE‑118. Medical, dental, vision and life insurance available for employee and eligible dependents.

Essential Duties and Responsibilities

Plans, organizes, and facilitates student services activities to develop students’ skills and engagement.

Assists in program planning phases and implements programs to enhance student engagement, including multicultural enhancement, social introduction, workshops, and support access to services and resources.

Conducts information and advisement sessions related to specific student requirements of assigned programs; ensures reporting obligations are met on the state and federal levels.

Assists students with identifying opportunities, processing applications, and ongoing support in a variety of college-sponsored programs (e.g., study abroad, Associated Students, multicultural events).

Collaborates with college departments and/or divisions to provide in‑service training and volunteer experiences on campus and in the community to enhance participation in co‑curricular activities such as student government and leadership.

Works closely with students, staff, management, faculty, and administrators concerning best business practices, customer service, coordination of committees, and multiple projects associated with student engagement.

Collaborates with campus community to create, generate, and execute innovative ideas and processes to enhance student involvement; initiates and serves on District and college committees.

Assists with identifying, developing, and arranging for Requests for Proposals (RFPs) from outside vendors/contractors; negotiates services and fees with private and public industry sectors; prepares standard and non‑standard contracts for approval.

Communicates with management and administration with progress updates, program information, and reports that support the college and District’s ability to ensure compliance with program objectives, state and federal rules, regulations, policies, and procedures.

Oversees, distributes, and prepares reports of results from student satisfaction surveys after the conclusion of special events and activities; recommends new and modified student engagement activities from survey feedback.

Creates informational materials and publications supporting the assigned student services programs in collaboration with Marketing and Public Relations.

Oversees and schedules events, student development activities, cultural trips, speakers, and other activities that encourage student participation in college life.

Researches, prepares, recommends, and monitors approved budgets related to the assigned program; assists with and prepares funding proposals; carries out expenditure of project funds according to fiscal guidelines.

Researches, collects, and compiles demographic and statistical data related to program participants; prepares and presents data and metrics related to student engagement, recruitment, retention, graduation, and transfer rates.

Interprets District policies and procedures pertaining to college activities and programs; ensures compliance with all applicable rules, regulations, policies, and procedures.

Maintains the maintenance of all records, including computer‑aided student databases; ensures confidentiality of student information.

Participates in campus/college, education, and grantee committees and functions that promote student engagement, retention, and achievement.

May maintain and update website pages using established formats and standards.

Performs other related duties as assigned that support the objective of the position.

Abides by all District policies and procedures, including Board Policy 3050 – Code of Professional Ethics.

Knowledge, Skills, and Abilities

Specialized knowledge of educational and student services program goals, objectives, procedures, and regulations.

Working knowledge of the education and administrative services provided by the District and special programs designed for student engagement and enrichment.

Knowledge of cultural, social, and economic differences impacting student academic success.

Proficiency in mentoring, tutoring techniques, and study skill development methods.

Professional‑level writing skills for grant and performance reports.

Math skills sufficient to read and analyze budget documents.

Knowledge of regional and community demographics and resources.

Human relations skills to make formal presentations, facilitate group processes, and exercise sensitivity to diverse populations.

Ability to schedule and organize work to ensure efficient program flow.

Ability to facilitate meetings involving diverse groups.

Ability to maintain confidentiality of sensitive information.

Ability to secure funding and local inter‑agency partnerships.

Software and database skills for tracking projects, preparing reports, and monitoring budget expenditures.

Ability to maintain productive and cooperative working relationships.

Education and Experience

Bachelor’s degree in behavioral science, social science, business, education, or a related field.

Four (4) years of experience in an outreach‑oriented student services program; preferably in higher education.

Evidence of demonstrated sensitivity to and understanding of diverse student backgrounds (California Code of Regulations §5.53022, Education Code §87360, EEO Plan).

Licenses and Certificates

Valid driver’s license may be required.

Working Conditions

Work is performed indoors; health and safety considerations are minimal.

Regular attendance is essential; failure to meet attendance requirements may result in loss of employment.

Position is a mandated reporter under California Child Abuse and Neglect Reporting Act and must comply with District policies and Title IX requirements.
