As we continue to expand our operations, we’re looking for a proactive and highly organized Project Coordinator to join our growing team. What You’ll Do As a Project Coordinator, you’ll be the driving force behind construction‑side operations once a project enters production. You’ll manage key milestones, coordinate field scheduling, handle vendor communication, and ensure that all parts, paperwork, and appointments are in place for flawless execution and client satisfaction.

Your Responsibilities Will Include:

Milestone Management: Coordinate and track key project phases including footers, extra part orders, inventory intake, bin assembly, product delivery, and installation.

Own and update the daily Project Milestone Report to ensure scheduling priorities are clear and aligned with business needs.

Daily Operations & Scheduling: Prepare daily field schedules and packets with accurate route sheets, access instructions, and required paperwork; schedule appointments and finalize routes by 4 PM daily; reconcile daily calendars and confirm all scheduled work is completed and documented; communicate closely with the Project Manager to ensure clients are notified and aligned with the project timeline.

Installation & Vendor Coordination: Manage the installation schedule from start to finish, including coordinating third‑party vendors for various phases of work; ensure delivery and installation photos are captured, checklists completed, and documentation is uploaded to CompanyCam.

Service & Warranty: Respond to warranty claims and schedule service calls; track returned parts and maintain clear documentation for all warranty and service workflows; coordinate punch‑out scheduling and project closeouts.

Inventory & Procurement: Order extra parts, confirm delivery, and maintain inventory accuracy; assemble and label project bins with required components and documentation; assist in ordering client‑specific add‑ons like fans and manage related communication.

Project Documentation & Technology: Maintain up‑to‑date records in Salesforce, Trello, and Google Calendar; ensure CompanyCam documentation is complete, labeled, and properly organized; support administrative closeout processes by compiling project files, checklists, and documentation into final packets.

What We’re Looking For

Experience: 3+ years in construction administration, coordination, or project support; managing multiple concurrent projects.

Organization: Detail‑obsessed and skilled in juggling 50+ active projects without losing sight of priorities or deadlines.

Communication: Strong written and verbal communication, with a talent for clear follow‑up and client‑facing professionalism.

Problem Solving: Proactive and resourceful, with a knack for resolving issues before they become delays.

Tech‑Savvy: Proficiency in Google Workspace, Salesforce, Trello, and familiarity with Apple devices.

Construction Knowledge: Comfortable working with field teams, inspectors, and understanding permit sequencing and vendor coordination.

Job Type

Full‑time, in‑office role. Must be authorized to work in the United States.

Schedule: Monday – Friday, 8:00 AM – 5:00 PM, with occasional evenings or weekends as needed.

Location Delray Beach, FL. Applicants must reliably commute or be planning to relocate before starting work.

Compensation Salary: $55,000 – $60,000 per year, based on experience, plus benefits and wellness perks.
