Position Overview The Executive Protection Team Coordinator (EPTC) serves as an essential link between the Executive Protection Team (EPT), corporate staff and the Family Office. This role provides high-level administrative and operational support, ensuring seamless coordination of protection logistics, travel planning, and communication between the field, family, and corporate teams.
The EPTC is responsible for scheduling, documentation, intelligence coordination, and maintaining operational readiness across all family movements and protection-related initiatives. The role requires exceptional organization, discretion, and a proactive mindset to anticipate needs in a fast-paced, dynamic environment.
This individual must be equally comfortable managing administrative tasks, supporting live operations, and collaborating with multiple departments to maintain the highest standards of safety, confidentiality, and professionalism.
Position Essential Duties & Responsibilities
Serve as the administrative and operational liaison between the Executive Protection Team, the Family Office, and corporate staff.
Coordinate daily team schedules, briefings, and tasking assignments.
Maintain communication with field agents to ensure timely flow of information, itinerary updates, and resource requirements.
Assist with operational logistics for travel, events, and residential coverage.
Support intelligence gathering related to travel, venues, and geopolitical developments impacting family operations.
Maintain situational awareness and share relevant intelligence with the Senior Lead Agent and protection staff.
Track and document protection activities, schedules, and incident reports.
Coordinate team movements and ensure all equipment, vehicles, and communication tools are accounted for and operational.
Assist with administrative tasks such as personnel records, scheduling, expense reporting, and procurement for the protection team.
Execute errands and operational support tasks on behalf of the family or team as required.
Family Office & Stakeholder Collaboration
Collaborate with accounting, finance, legal, and other key stakeholders on initiatives impacting protection and family operations.
Manage vendor relationships, contracts, and accounts payable for services supporting the protection detail and related household needs.
Engage in special projects at the direction of the Senior Lead Agent.
Travel & Event Support
Coordinate and confirm all travel logistics, including hotels, flights, and rental vehicles, ensuring alignment with protection coverage plans.
Prepare advance packets and ensure all itineraries, credentials, and resources are ready before movement.
Support event logistics in coordination with the Corporate Events team, ensuring protection coverage and access are appropriately integrated.
Assist in travel tracking, route mapping, and contingency preparation.
Administrative & Documentation Management
Maintain secure digital filing systems (SharePoint, OneDrive, Dropbox) for operational documents, schedules, and reporting.
Create and maintain administrative tools, including fillable templates, reports, and checklists to streamline operations.
Manage expense submissions and reconciliations through COUPA or similar software.
Build and maintain an operations manual documenting procedures, communication protocols, and reporting standards.
Educational / Skill Requirements
Minimum of 4 years of experience in military headquarters, tactical operations command, law enforcement, or government administration preferred.
5–10 years of experience in administrative coordination, executive support, family office operations, or protection support.
Demonstrated understanding of executive protection principles, intelligence coordination, and security planning.
Strong organizational skills and ability to manage multiple projects simultaneously.
Excellent written and verbal communication skills.
Advanced proficiency in Microsoft Word and Excel, including the ability to create templates, fillable forms, and operational reports.
Proficiency with Microsoft Office Suite, SharePoint, OneDrive, Dropbox, and COUPA (or similar expense management software).
High attention to detail and ability to prioritize effectively under pressure.
Strong interpersonal skills with the ability to collaborate across diverse teams and stakeholders.
Flexibility to adapt to changing priorities and to travel or work non-standard hours when needed.
