The State of New Hampshire, Department of Safety, Division of State Police, Investigative Services Bureau, has a full-time vacancy for Investigative Bureau Administrative Secretary.

SUMMARY: Supervises secretarial support activities within the Division of State Police for the Investigative Services Bureau, with particular focus on the Major Crime Unit; performs administrative duties and completes technical assignments associated with case management and the release of information.

YOUR EXPERIENCE COUNTS: Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education.

MINIMUM QUALIFICATIONS:

Education/Experience: Equivalent combination of 2 years of education and experience after completion of high school

License/Certification: None

Other Requirements: Must pass a fingerprint based criminal background check and motor vehicle record check in order to ensure suitability for exposure to confidential information.

Trainee Option: Candidates with an equivalent combination of 1+ years of relevant education and experience after completion of high school may be considered and hired in 'trainee status' for this position.

AFTER-HIRE REQUIREMENTS:

Must obtain Justice of Peace and/or Notary Public designation within 6 months of employment for use with search warrants, arrest warrants, complaints, official documentation, and correspondence.

RESPONSIBILITIES:

Maintains a secure criminal investigation file record for the Division of State Police Investigative Services Bureau as required by law. Prepares, processes, and maintains files on confidential matters, such as felony criminal investigations, disciplinary action and/or internal investigations.

Enters all criminal investigative reports into a database in order to catalog statistical data as mandated by Divisional operational procedure.

Performs administrative secretarial functions to include, but not limited to, typing, answering phones, data entry, responding to e-mail, using computer system applications/software, scheduling appointments and conference room use.

Prepares overtime reports of Bureau members and coordinates same with Department of Safety business office.

Establishes workflows and delegates assignments to other clerical staff as needed to efficiently coordinate tasks related to correspondence, file maintenance and general case documentation.

Facilitates and tracks RSA 91-A (Right to Know) requests by releasing information to appropriate requester as may be required by law and/or agency policy.

Updates and organizes Agency/Bureau/Unit filing system. Maintains direct access to State Archives in order to submit and retrieve Division records as required by statute and/or policy. Updates and maintains a log of all cases submitted to archives.

Oversees Bureau/Unit office facilities, to include general organization and maintenance, storage, supply, equipment, forms, documents, mail, deliveries, correspondence, inventories, and hardware.
