Patient Access Representative – ED Registration (Per Diem 8 Hours Nights, 11:00PM to 7:30AM) Position Summary Under the direction of the Admitting Manager, the Patient Access Representative is responsible for interviewing incoming patients (inpatient, outpatient, and emergency department) to obtain all pertinent data for admission and produce a complete and accurate admission record. This includes medical record information, as well as demographic and financial related information. The representative is responsible for answering all inquiries related to admissions, collecting deposits or payments, interacting with the nursing units and ancillary departments, and providing directions to various areas within the hospital.

ESSENTIAL JOB FUNCTIONS AND CORE RESPONSIBILITIES

Acknowledging patients or guests and their requests

Appearing professional in dress, grooming and hygiene.

Assists in the training of new employees.

Demonstrates awareness and sensitivity to the rights of patients and significant others.

Documents any financial arrangements made in the patient’s account notes, notifies the Admitting Manager or Business Office Manager of all problem accounts that require special attention.

Exhibits concern, tact, and discretion in all working relationships.

Functions with an awareness of safety issues and reports unsafe issues appropriately.

Upholds the highest service standards regarding patient care.

Makes patients’ needs the first priority.

Works cross‑trained in inpatient, outpatient, bed board, and emergency room areas.

Familiar with the hospital layout to direct patients or guests to the proper destination.

Physically able to push a wheelchair.

Available to work overtime, holidays, and shift changes to meet staffing needs.

Complies with HIPAA, EMTALA, Fair Debt and Collection Practices Act, Medicare Secondary Payer, and other relevant laws and regulations.

Keeps informed regarding PPO, HMO, Medicare, Medi‑Cal, and indigent service programs for timely claim processing.

Offers assistance promptly, cordially, and completely.

Comfortable with sick patients, able to summon medical assistance when needed; BLS certified each year.

Monitors patient valuables in accordance with hospital policy.

Performs various other duties as assigned.

Promotes unity and teamwork among co‑workers and other departments.

Handles confidential information appropriately, both at work and off site.

Completes patient electronic medical records and ensures paperwork is sent to the proper destination promptly.

Obtains advance directive information from inpatient, ER, OPS, and bed patients; accurately records data in the system.

Communicates patient financial responsibility, collects deposits and co‑payments, and arranges financial arrangements when necessary; completes promissory notes when applicable.

Collects all patient-related information to produce a complete and accurate admission record, including correct medical record numbers, insurance cards, identification, authorizations, signatures, and accurate insurance and demographic data.

Understands and participates in the organization‑wide Performance Improvement Program through orientation, education, departmental, and inter‑departmental quality planning activities.

Ensures consent forms, advance directives, and required signings are clearly explained to patients before obtaining signatures.

Meets the department productivity goal: registers a minimum of 20 patients per shift; performs registrations within a standard of 20 minutes; maintains an account accuracy rate of at least 80%.

Completes shift logs in the Emergency Department.

Performs and demonstrates mastery of all designated courses within 90 days of hire for new employees, and within one year of 02/12/2018 for current employees; passes a competency test every two years thereafter.

JOB REQUIREMENTS Education Minimum: High School diploma or equivalent.

Work Experience Minimum: 2 years of customer service experience.

Licenses and Certifications

BLS certified or provide BLS certificate within 30 days of hire.

M.A.B. certification required; new hires must obtain within 6 months of hire.

Pay Transparency The hourly salary rate range for this position is $25.75 – $34.65.
