ABOUT THIS POSITION
The City of Phoenix Planning & Development Department (PDD) guides the physical development of the city by preserving our historic sites, planning what can be built where, and ensuring safe construction of buildings and infrastructure. A host of advisory and governing bodies of residents as well as elected officials provide oversight as the city grows and needs arise. The process is governed through development and enforcement of city codes and ordinances.
The Secretary III in the Inspections section is responsible for supporting the Inspections Division in a very fast-paced environment. The Secretary III position will provide administrative support to approximately 170 inspections staff, most of whom work entirely out in the field.
Duties include:
Pay Range: $20.02 to $29.58 per hour.
Hiring Range: $20.02 to $26.83 per hour.

Duties include:
- Providing front desk coverage
- Providing secretarial support for Inspections supervisors, field supervisors and inspectors.
- Managing the conference room schedules.
- Ensuring supply rooms are appropriately stocked
- Serving as a shopper for the Inspections Division ordering supplies
- Placing print orders through the City's print shop.
- Placing and tracking work orders with the Public Works department.
- The Technical Review Team liaison will process and maintain all Technical Review Team documents for the Inspection Division.
- Maintain the Journeyman/Apprentice License program.
- Responsible for creating weekly mail calendar and for creating the annual Inspections staffing calendar. separated at any time.
- Ability to learn quickly, multitask well, prioritize effectively, and handle multiple conflicting work priorities.
- Advance proficiency in Microsoft Office (Word, Excel, Outlook, etc.)
- Ability to maintain accurate spread-sheets, procedures, organization charts.
- Knowledgeable of computer database applications and the ability to maintain and query data.
- Proficiency using word processing, spreadsheet, databases, and presentation software.
- Excellent customer service skill skills to assist internal and external customers in a fast-paced public setting both by telephone and in face-to-face interactions.

Pay Range Explanation:
- Pay range is the entire compensation range for the position classification.
- Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.
- Promotions occur when the last two digits of the pay grade increase.
- Demotions occur when the last two digits of the pay grade decrease.
- Lateral transfers occur when there is no change to the last two digits of the pay grade.
- When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

MINIMUM QUALIFICATIONS
- Three years of progressively responsible secretarial experience, including training in typing and the use of modern office software and equipment.
- Must be able to lift at least 50 lbs.
- Other combinations of experience and education which meet the minimum requirements may be substituted

The minimum qualifications listed above, plus:
- Five or more years of experience providing high levels of customer service to internal and external customers in person, on the phone, or via email.
- Experience with SAP/SRM as a shopper.
- Experience in KIVA and/or ShapePHX.
- Computer experience processing ticket service requests (TSR) or other work orders.
- Experience working in a field employment environment.
