Pay range: $19/hr - $20/hr

Schedule: Monday

Friday, 6 am to 3 pm or 7 am to 4 pm.

Job Description Context/Scope: This position will routinely interact with Team Leads, Management, and others within various cross-functional departments such as Processing, Manufacturing, Supply Chain, Finance, and Compliance. The major challenge is to effectively and efficiently identify, resolve, and document all issues identified during the auditing of records and systems. This role will manage multiple projects autonomously or with guidance. The ideal individual must be proactive in developing efficiency changes and process flow improvements while maintaining positive working relationships and providing clear, concise communication to various internal departments and internal/external customers and vendors when necessary.

Purpose of Role: The Processing Compliance Administrator will have complete ownership of ensuring that all data related to batch records, export shipments, and inventory is accurately documented and entered into the enterprise resource planning (ERP) and tracking systems. This role provides direct support to internal and external customers and stakeholders by performing, leading, and executing auditing, tracking, reporting, and investigations. This position supports the Processing Department and Team Leads by taking the lead and managing investigations to their final resolution.

Key Responsibilities: Run daily open process order and error reports to monitor and resolve any errors within 24 hours of discovery. Perform routine audits of batch records and production documentation to ensure costing and inventory are accurately entered and compliant with regulatory protocols. Audit reports for received materials to ensure costing and inventory are accurately entered and documented for compliance. Own the process for posting and reconciling production batches into the ERP system and balancing inventory. Maintain all controlled documentation filed in an orderly manner for future reference for quality or audit purposes. Monitor all inventory cycle count activities for large dollar value discrepancies and ensure proper signatures are acquired for compliance. Generate all paperwork associated with export materials and post inventory transactions in the ERP system. Proactively communicate with various departments regarding the status of orders or shipments. Take complete ownership of investigating blocked status inventory and open stock transfers. Maintain and update departmental daily performance metric data. Run weekly inventory reports to support Production in clearing materials and moving inventory out of quality hold when necessary. Develop and execute all compliance checks for processing, including weekly inventory adjustment reports for manager approval. Administrate the site documentation control system, ensuring all departmental documents are updated as per the defined timeline.

Qualifications and Experience Required: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other operational systems is required. Must be tech-savvy and reliable. BS/BA degree in Sciences or a Business field preferred, or 3-5 years of relevant experience in lieu of a degree. Relies on experience and sound judgment to plan and accomplish goals. Experience with ERP systems (e.g., SAP) is a plus. Inventory tracking experience is a plus. Knowledge and experience of Good Manufacturing Practices (GMPs). Strong written and verbal communication skills are required. Strong organizational skills are required. Must demonstrate a high attention to detail. Experience auditing, tracking, reporting, and investigating records within a highly regulated industry is a plus. Working knowledge of regulatory compliance principles is a plus.
