LIBRARY FACILITIES MANAGER, University Libraries The Boston University Libraries seek a Library Facilities Manager to oversee the daily operations for library facilities, monitor building conditions, generate work orders, manage vendor relationships, and respond to facilities requests. Reporting to the Associate University Librarian for Collections and Operations, this role works closely with BU Facilities Area Managers to ensure the operation and maintenance of essential building systems, such as HVAC, plumbing, electrical, and elevators, and to ensure that the library meets safety codes and regulations. The Library Facilities Manager regularly liaises with library units, including Business Services and Library Administration. This role participates as a member of project teams and working groups, coordinating the activities of trades, vendors, and contractors. The Library Facilities Manager is a critical member of the Libraries Emergency Response Team (LERT).

Responsibilities

Facilities Management: Respond to and resolve direct requests from library staff relative to space and facilities issues, concerns, and requests, including environmental health and safety, HVAC, maintenance, repairs, cleanliness, damage or disrepair to furniture or equipment, leaks, pests, and lighting. Coordinate with appropriate campus departments and external vendors, follow up with trades and contractors, and communicate issue resolution to impacted library stakeholders. Oversee to completion all work orders and service requests submitted to BU Facilities through the Facilities Request for Service system. Maintain building keys and door locks, building alarm systems, and automated security and building access system; liaise with BU Campus Security on matters pertaining to building security. Regularly inspect all areas of the library buildings to assess cleanliness, safety, and ease of passage. Apply expertise and independent judgment in resolving unique and complex facilities challenges.

Mailroom Supervision: Oversee the library mailroom, which is responsible for processing all incoming and outgoing shipments. Supervise and evaluate one full-time employee.

Space Project Coordination: Work with Library Administration on facilities planning to include forecasting facilities needs and proposing projects. Participate in the planning, design, and execution of remodels and renovation projects. Manage office transfer and relocation, configuration, and optimal use of space and facilities.

Emergency Planning and Response: Participate in emergency preparedness planning and response. Ensure that proper emergency/evacuation procedures are followed and resolve questions regarding emergency response needs. Plan and deliver emergency response training workshops for library staff. Assist in documentation following any emergency.

Security: Manage building access control. Coordinate with BU Security for assistance with any issues related to access control. Address immediate concerns for staff and visitor safety, acting as liaison with Campus Planning and Operations staff and external contractors.

Required Skills

Bachelor's degree in a related field or equivalent related experience.

3-5 years of experience in facilities management, including knowledge of building systems such as HVAC, lighting, plumbing, and electrical systems.

Ability to read blueprints and mechanical drawings.

Previous project management experience.

Experience analyzing facilities problems and developing solutions.

Ability to prioritize effectively and to manage multiple projects simultaneously.

Familiarity with safety regulations and building codes to ensure compliance and the safety of the library staff and patrons.

Ability to communicate effectively with staff, students, campus trades, and external contractors.

Excellent written and oral communication skills.

Preferred Qualifications

Academic library or university facilities management experience.

Experience in supervision and training.

Demonstrated ability to plan, organize, and complete construction and facilities projects.
