Job Description Job Responsibilities
Provide administrative support as required by the respective Vice President/Senior Vice President and related team members, including but not limited to answering telephones; maintaining calendars; coordinating travel arrangements; preparing and submitting expense reports; screening and organizing mail and other communications. Provide general administrative assistance as needed. Prepare and distribute all necessary reports and documents from the respective executive and related team members, as directed. Manage department invoicing by processing, filing and maintaining documents. Schedule, coordinate, and prepare for regular team meetings and other recurring or ad-hoc meetings. Work collaboratively with related departments. Responsibilities include agenda preparation, meeting material preparation and distribution, room setup, and general logistics to ensure participation is smooth. Contribute to team effort by accomplishing related results as needed. Record and prepare minutes of meetings as requested. Compose clear, accurate, and concise letters, reports, and other correspondence. May include Board documents and communications. Manage records by filing and maintaining documents. Maintain privacy and confidentiality of all materials — electronic and hardcopy. Maintain department supplies inventory. Actively support the achievement of SCAN’s Vision and Goals. High School Diploma or equivalent experience 0-3 years of related experience Performs work under direct supervision; handles basic issues and problems, and refers more complex issues to higher-level staff Possesses beginning to working knowledge of subject matter; technical expertise with strong analytical skills Problem solving, good communication and interpersonal skills Computer skills; oral and written communication skills; ability to understand and follow directions Excellent stakeholder management skills What’s in it for you?
