We are seeking a
high-performing Executive Assistant (EA)
to provide direct support to the CEO. This role goes far beyond scheduling — you will act as a
trusted partner, project manager, and operational coordinator
who ensures initiatives move forward and nothing falls through the cracks.
Role Overview:
The Executive Assistant will:
Provide leverage to the CEO by handling daily admin, communication, and scheduling.
Drive operational excellence by creating SOPs, templates, and structured reporting.
Act as project manager for strategic initiatives (CRM/ATS automations, new business launches, SharePoint migration, tech integration, app launch).
Serve as liaison between the CEO and internal teams, vendors, and external stakeholders.
Contribute to organizational efficiency, enabling the CEO to focus on growth and strategy.
Key Responsibilities:
Executive Support
Manage CEO’s calendar, travel, and inbox with a high level of discretion.
Prepare meeting briefs, track follow-ups, and ensure accountability on action items.
Handle sensitive communication with confidentiality and professionalism.
Project Management & Operations
Oversee implementation of operational projects (CRM/ATS automations, SharePoint migration, system integrations).
Build and maintain SOPs, candidate submission templates, and weekly client reporting.
Schedule and coordinate production operations meetings, prepare agendas, and circulate notes.
Track and report progress on strategic initiatives such as app launches, new service lines, and training program development.
Partner with marketing team to manage campaigns, social media, and website improvements.
Maintain a marketing calendar and ensure timely execution of deliverables.
Assist with website updates and brand consistency across platforms.
Introduce/recommend and oversee AI initiatives.
Monitor website functionality, log issues, and liaise with IT for fixes.
Training & Organizational Development
Support improvements in training programs for staff, schedulers, and dispatchers.
Ideal Candidate Profile:
Experience:
5–10 years as an Executive Assistant, Operations Manager, or Project Coordinator; prior exposure to high-growth, fast-moving environments. Aviation, tech, or professional services background a plus.
Skills:
Strong project management and organizational skills.
Familiarity with CRM/ATS systems (Bullhorn, Salesforce, HubSpot, etc.).
Confident with SharePoint, Dropbox, and system migrations.
Ability to create polished SOPs, templates, and reports.
Attributes:
Proactive, detail-driven, and anticipatory.
Tech-savvy and quick to learn new tools.
Confident but discreet — able to handle sensitive information.
Comfortable managing multiple projects at once.
