Pfalzgraf Beinhauer Grear Harris Schuller LLP We are seeking an experienced Estate Administration / Probate Paralegal to join our team. This role is essential to restoring efficiency after the departure of a senior paralegal and will involve managing a caseload of approximately 75 active probate files, training newer paralegals, and ensuring files move consistently toward conclusion. You’ll work closely with attorneys, support court filings, monitor Surrogate’s Court deadlines, communicate with clients and stakeholders, and handle drafting, accounting, and estate matters. The ideal candidate combines legal experience, strong organization, and independence with a warm, client-centered mindset. What we’re looking for

Experience:

3–5+ years of trust and estates administration experience as a paralegal, with a strong background in probate and estate administration, preferably within New York. Proven ability to independently manage complex and high-volume caseloads while supporting grieving families with care and efficiency. Legal Knowledge:

Deep familiarity with Surrogate’s Court procedures, including preparation and filing of petitions, accountings, fiduciary notices, and closing documentation. Solid understanding of estate and fiduciary law and the principles that drive accurate, compliant administration. Technical Proficiency:

Proficient in using Clio for case management, e-filing platforms, and document automation tools such as HotDocs and LexisNexis forms. Comfortable with Microsoft Office and digital workflow management. Organization & Efficiency:

Exceptionally organized and detail-oriented. Capable of balancing multiple open estates simultaneously while maintaining strong control over timelines, deliverables, and documentation accuracy. Leadership & Mentorship:

Experience mentoring or training junior paralegals and administrative staff. Takes initiative to share knowledge, improve workflows, and elevate team performance. Communication & Professionalism:

Clear, concise communicator who interacts effectively with attorneys, clients, courts, and external partners. Maintains empathy and professionalism when working with families in sensitive situations. Work Style & Independence:

Highly dependable and self-directed, especially in remote or hybrid environments. Demonstrated ability to stay accountable, prioritize effectively, and deliver consistent results without close supervision. Why you should work here

Base salary range of $65K–$80K depending on experience, plus quarterly team bonus. Location:

Preferred in-office role based in Buffalo, NY, but open to remote candidates with proven estate/probate experience and strong accountability. Working Hours:

Monday–Friday, 8:30 AM – 5:00 PM. Flexible scheduling is supported as long as work is completed on time. PTO & Holidays:

Two weeks paid time off, five sick days, and two floating holidays. PTO increases with tenure (+1 day/year). Standard federal holidays observed. Health & Insurance:
