Overview
The Receptionist will serve as the first point of contact for our company, ensuring a positive and welcoming experience for all visitors and callers. This role involves managing the front desk, handling incoming calls, scheduling appointments, and providing general administrative support to various departments. The ideal candidate will possess excellent communication skills, a friendly and professional demeanor, and a strong commitment to customer service.
Essential Job Functions
- Greeting Visitors: Welcome guests, customers, and employees with a warm and professional demeanor, ensuring they are directed to the appropriate person or department
- Managing Calls: Answer, screen, and forward incoming phone calls promptly and courteously. Take and relay accurate messages when necessary
- Scheduling Meetings: Coordinate and schedule meetings for staff, managing multiple calendars efficiently
- Administrative Support: Perform a variety of clerical tasks, including filing, data entry, and handling mail and deliveries. Provide support to multiple departments as needed.
- Customer Service: Address inquiries from visitors and callers, providing information and assistance as needed. Handle any complaints or issues professionally and escalate them when necessary
- Office Management: Maintain tidy and organized reception, Admin offices, BEL Lounge, and Executive kitchen areas, ensuring all areas are stocked with necessary office and refreshment supplies. Oversee the management of all office and refreshment supplies and inventory. Arrange various service and maintenance calls as needed
- Communication: Ensure effective communication within the office by distributing information and updates as needed
- Security: Follow security procedures for visitors, ensuring that sign-in protocols are adhered to and that unauthorized individuals are not permitted access to the premises. Ensure all employee vehicles are registered and up to date
- Other duties and special projects as assigned by manager/supervisor
Essential Qualifications
Education/Certification: High School Diploma
Experience/Knowledge Required
- At least two years of Receptionist and Customer Service experience in a fast-paced environment with demonstrated commitment to providing exceptional customer support with a proven track record of success.
- Intermediate level knowledge of MS Word and Excel.
- Regular and on-time attendance.
- Must exhibit a demonstrated track record of quality/compliance adherence.
- Excellent communication, analytical, listening, and organizational skills.
- Must be organized, detail oriented, customer obsessed, self-motivated, able to be a team player.
- Must demonstrate a proficiency in verbal and written communication to include spelling, grammar, and proper use of the English language.
