Our client is a leading brand in the beauty, fashion, and lifestyle space, known for its innovative approach, modern aesthetic, and global reach. The Executive team is seeking a highly skilled, resourceful, and polished Executive Assistant to provide strategic and administrative support to a C-Level Executive. This role is ideal for someone who thrives in a fast-paced, creative, and entrepreneurial environment, and who can serve as the executive’s right hand across business and personal priorities.
Key Responsibilities
- Provide comprehensive executive support to the C-Level leader, ensuring seamless management of professional and personal priorities.
- Manage complex calendars, coordinate meetings across time zones, and anticipate scheduling needs.
- Handle confidential correspondence, draft communications, and act as the main point of contact between the executive and internal/external stakeholders.
- Plan and coordinate domestic and international travel, including itineraries, accommodations, and expense reconciliation.
- Prepare presentations, reports, and meeting materials using tools such as Google Workspace and Microsoft Office Suite.
- Assist in project management and cross-functional coordination, tracking deliverables and ensuring deadlines are met.
- Partner with internal teams including Marketing, Operations, and Product to facilitate efficient communication and execution of company initiatives.
- Support with event coordination, gifting, and personal tasks as needed to maintain executive efficiency.
- Proactively identify ways to streamline processes and improve executive productivity.
- Maintain professionalism and discretion when handling confidential or sensitive information.
Qualifications
- 5+ years of Executive Assistant experience supporting C-level executives, ideally within beauty, fashion, lifestyle, or creative industries.
- Proven ability to anticipate needs, think critically, and offer solutions with a high level of professionalism.
- Strong written and verbal communication skills.
- Advanced proficiency in Google Workspace, Microsoft Office Suite, Slack, Zoom, and expense systems (Concur, Expensify, etc.).
- Exceptional organizational skills with the ability to multitask and prioritize competing demands.
- Ability to thrive in a fast-paced, entrepreneurial, and creative culture.
- Bachelor’s degree preferred.
