A law firm in Downtown Dallas is seeking an experienced Executive Legal Secretary to support multiple attorneys in their Litigation Section. This role requires someone highly organized, detail-oriented, and proactive—someone who thrives in a fast-paced legal environment and can handle confidential matters with professionalism and discretion.

Key Responsibilities

  • Prepare and format legal documents including briefs, complaints, motions, subpoenas, and summonses.
  • Coordinate and e-file documents in State and Federal courts.
  • Maintain case calendars, deadlines, and reminders in Court Alert.
  • Organize and manage documents within the firm’s document management system (NetDocs).
  • Open new matters, run conflict checks, and assist with client intake coordination.
  • Prepare notebooks, binders, exhibits, and client meeting materials.
  • Manage attorney calendars, schedule meetings and conferences, and coordinate video conferencing.
  • Assist with billing processes, time entry, and expense reporting.
  • Handle travel arrangements, CLE submissions, and attorney membership filings.
  • Proofread documents for accuracy and consistency.
  • Provide exceptional client service and maintain confidentiality at all times.
  • Collaborate with team members to ensure seamless support coverage during absences.

Qualifications

  • 3–5 years of litigation experience required; mid-to-large law firm experience strongly preferred.
  • Proficient in Microsoft Office (Outlook, Word, Excel), NetDocs, Carpe Diem, and Chrome River.
  • Solid knowledge of ECF and Texas State e-filing systems; familiarity with state and federal court rules.
  • Advanced document preparation skills (styles, TOCs, TOAs, cross-references, redlines, etc.).
  • Excellent attention to detail, organization, and proofreading skills.
  • Strong interpersonal and communication skills; able to work well both independently and within a team.
  • Ability to handle multiple priorities in a deadline-driven environment with professionalism.
  • Willingness to work overtime as needed.
