$99,053.00 - $163,237.00 Annually

Job Summary The Special Assistant profile in the Mayor’s Office will play a crucial role in supporting the effective functioning of the Baltimore City Mayor's Office. Working closely with the Chief of Staff and deputy chief of staff, the Special Assistant will handle various administrative, organizational, and communication tasks to ensure the smooth operation of the office and assist in implementing the mayor's vision and initiatives. The ideal candidate will be highly organized, detail-oriented, proactive, and possess excellent communication and interpersonal skills.

Essential Functions

Administrative Support: Provide comprehensive administrative support to the Chief of Staff, including managing schedules, arranging appointments, coordinating meetings, and preparing relevant materials.

Communication Management: Act as a liaison between the principal and various internal and external stakeholders, including government officials, community leaders, and residents. Handle incoming communications, respond to inquiries, and draft official correspondence as needed.

Office Coordination: Oversee the day-to-day operations of the Mayor’s Office, ensuring all office supplies are stocked, equipment is functioning properly, and logistical needs are met.

Project Management: Assist in managing and tracking ongoing projects, initiatives, and deadlines, ensuring that deliverables are completed in a timely manner.

Research and Analysis: Conduct research on various topics to inform decision-making processes, compile data, and prepare briefing materials for the Principal and the Mayor.

Event Coordination: Assist in planning and coordinating events, press conferences, town halls, and other official functions on behalf of the Mayor’s Office.

Policy Support: Stay updated on city policies, initiatives, and current events to provide timely and relevant information to the Chief of Staff and the Mayor.

Confidentiality and Discretion: Handle sensitive and confidential information with the utmost professionalism and discretion.

Special Projects: Undertake special assignments and projects as directed by the principal, which may involve collaborating with various departments and stakeholders.

Minimum Qualifications Education:

Have a bachelor's degree in public administration, business management, or a related field. Industry certifications, professional licenses, and years of relevant work experience in related fields can substitute for the educational requirement.

AND

Experience:

Previous experience in a fast-paced administrative role, preferably within government, politics, or public service.

OR

Equivalency Notes:

Have an equivalent combination of education and experience.

Knowledge, Skills, And Abilities

Excellent written and verbal communication skills, with the ability to draft clear and concise communications.

Strong organizational skills and attention to detail, with the ability to prioritize and manage multiple tasks effectively.

Proficiency in using office productivity software (e.g., Microsoft Office Suite, Google Workspace).

Knowledge of Baltimore City's government structure and key issues facing the community is a plus.

Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.

Flexibility to work occasional evenings or weekends, as required by office events or special projects.

A positive and proactive attitude with the ability to work both independently and collaboratively in a team-oriented environment.

Background Check Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening and must be successfully completed.

Probation All persons, including current City employees, selected for this position must complete a mandatory probation.
