The Boeing Company is currently seeking an Executive Assistant to support the Director of Engineering on the MAX Development Program in Renton and Everett, WA. The ideal candidate has experience supporting executives, possesses a high degree of professionalism and discretion, is able to thrive in a fast-paced environment, and possesses the unique ability to build rapport with key partners and stakeholders. The selected candidate will be a team player, proactive, and capable of adjusting priorities effectively.
Responsibilities
Manages the Director of Engineering’s schedule and calendar
Establishes and maintains effective working relationships with internal customers, external customers, co-workers and peers
Maintains the highest level of confidentiality with sensitive information while working under tight and often competing deadlines
Coordinates domestic and international business travel, monitors traveler logistics, generates expense reports, and reconciles corporate credit card charges to ensure timely and accurate reimbursement
Assists in planning, coordinating, and implementing logistics for visiting Boeing senior executives
Works under minimal supervision, manages the overall office ambiance, coordinating seasonal changes to create a welcoming atmosphere
Oversees weekly coffee supply orders for the 40-26 area
Handles mail distribution every Tuesday, including redirecting mail for individuals no longer in the building
Updates and communicates seating chart changes to leadership
Maintains cleanliness in kitchen areas and encourages staff to keep shared spaces tidy
Facilitates monthly snack pickups and sends reminders to leadership
Updates management presentations with information collected from several groups
Organizes team events, such as potlucks and holiday parties, ensuring participation from key personnel
Manages room reservations for the 40-26 and 5th-floor spaces, avoiding scheduling conflicts
Manages supply orders, handles facilities requests, and maintains distribution lists
Required Skills
5+ years of experience providing administrative support to multiple customers such as executives, managers, and staff members
5+ years of experience with Microsoft Word, Excel, Outlook, and PowerPoint
3+ years of experience coordinating and processing domestic and/or international travel arrangements
Preferred Skills
5+ years of experience supporting Executives
5+ years of experience in partnering with executives to help develop and manage the operating rhythm/cadence for executive leadership teams
3+ years of experience with Concur or a similar travel and expense management program
Effective written and verbal communication across global audiences
Adept at functioning as a liaison between senior executives and key partners with strong work prioritization, organizational and multi-tasking skills
Strong relationship building and teaming skills
Pay Rate Range 20–25 USD hourly
