This job is with Encode, Inc a fully owned subsidiary of Lancesoft. Responsibilities

Manages the Director of Engineering’s schedule and calendar Establishes and maintains effective working relationships with internal customers, external customers, co-workers and peers Maintains the highest level of confidentiality with sensitive information and while working under tight and often competing deadlines Coordinates domestic and international business travel, monitors traveler logistics, generates expense reports, and reconciles corporate credit card charges to ensure timely and accurate reimbursement Assists in planning, coordinating, and implementing logistics for visiting senior executives Works under minimal supervision, manage the overall office ambiance, coordinating seasonal changes to create a welcoming atmosphere Oversee weekly coffee supply orders for the 40-26 area Handle mail distribution every Tuesday, including redirecting mail for individuals no longer in the building Update and communicate seating chart changes to leadership Maintain cleanliness in kitchen areas and encourage staff to keep shared spaces tidy Facilitate monthly snack pickups and send reminders to leadership Update management presentations with information collected from several groups Organize team events, such as potlucks and holiday parties, ensuring participation from key personnel Manage room reservations for the 40-26 and 5th-floor spaces, avoiding scheduling conflicts Manage supply orders, handle facilities requests, and maintain distribution lists Qualifications

5+ years of experience providing administrative support to multiple customers such as executives, managers, and staff members 5+ years of experience with Microsoft Word, Excel, Outlook, and PowerPoint 3+ years of experience coordinating and processing domestic and/or international travel arrangements Preferred Skills

5+ years of experience supporting Executives 5+ years of experience in partnering with executives to help develop and manage the operating rhythm/cadence for executive leadership teams 3+ years of experience with Concur or a similar travel and expense management program Effective written and verbal communication across global audiences Adept in functioning as a liaison between senior executives and key partners as well as superior work prioritization, organizational and multi-tasking skills Strong relationship building and teaming skills Education/Experience

Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 5 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+2 years' related work, Bachelor, etc.).
