Role: Operations & Client Experience Manager

About Carbon Wealth Advisors

Carbon Wealth Advisors is a referral‑only, partner‑led multi‑family office serving a select group of high‑net‑worth families. We deliver the same thoughtful, long‑term planning, investment strategies, and protection frameworks we use for our own families. As a boutique firm backed by Mariner Wealth Advisors, we offer the intimacy and high standards of a family office with the infrastructure of a top national RIA. We recently opened our first dedicated office in Rochelle Park, NJ and are building a team of exceptional professionals who value precision, trust, and excellence.

Role Overview We’re seeking a Wealth Management Operations & Client Experience Manager to own and optimize the day‑to‑day operations of our growing firm. This is a hands‑on, high‑visibility role working directly with the founding partners. You’ll be the operational backbone of the firm — ensuring that every client interaction, onboarding, report, and workflow reflects the high standard our clients expect. This is ideal for someone with 2–5 years of RIA, private wealth, or finance experience who wants to grow into a senior leadership role over time. Full‑time, in‑office role (Rochelle Park, NJ)

Key Responsibilities Client Operations & Experience

Own the onboarding and servicing process for new and existing clients (individual, trust, business, and retirement accounts).

Act as the operational liaison for clients and custodians, ensuring requests are handled promptly and accurately.

Coordinate documentation workflows — advisory agreements, disclosures, account forms, transfer paperwork.

Track private investments, capital calls, RMDs, liquidity events, and other client activities.

Support a white‑glove client experience from first touchpoint through ongoing service.

Systems & Process Management

Manage and optimize the firm’s tech stack: Wealthbox (CRM), RightCapital (planning), Practifi (workflow), DocuSign, Okta.

Maintain clean, organized client records and ensure timely data entry.

Prepare meeting agendas, onboarding summaries, and follow‑up communications.

Proactively standardize and improve operational processes as the firm scales.

Generate quarterly performance and insurance reports.

Assist with client meeting preparation, presentation materials, and follow‑up action items.

Ensure all reporting is delivered accurately and on time.

Compliance & Oversight

Ensure adherence to RIA compliance and custodial procedures.

Maintain audit‑ready records and support Mariner’s compliance framework.

Understand fiduciary and regulatory responsibilities associated with client accounts.

What We’re Looking For

2–5 years of operations or client service experience in an RIA, private wealth, or financial services firm.

Bachelor’s degree preferred (Finance, Business, Economics, or related).

Strong understanding of investment account types, custodial platforms, and planning workflows.

Tech‑savvy and detail‑oriented — thrives on keeping things clean, organized, and running smoothly.

Excellent written and verbal communication: polished, professional, proactive.

Ambitious and eager to grow with the firm.

Bonus points if you have experience with Orion, alternative investment tracking, or estate structures.

Base Salary: $60,000 – $75,000 (commensurate with experience)

Bonus: Annual performance‑based bonus

Growth Path: Potential to grow into Director of Operations or Chief of Staff as the firm scales.
