We are seeking a highly organized and proactive

Event Coordinator

to support the planning and execution of exceptional corporate events, including conferences, client receptions, executive meetings, and large scale parties. This role requires someone with 3–4 years of professional event coordination experience, strong vendor and stakeholder communication skills, and the ability to manage multiple projects simultaneously. You are the type of person that loves a challenge, takes initiative, and has an ability to navigate gray areas and wants to be a part of a team.

Greater Seattle area

for local onsite event support, venue walkthroughs, and team meetups.

In this role, you’ll make an impact in the following ways:

Ensure every detail of event planning and execution is organized, tracked, and delivered on time

Serve as the behind-the-scenes force who keeps logistics, timelines, and vendors aligned and moving forward

Anticipate potential event risks before they arise, proactively asking questions and offering solutions to keep things on track

Support the team by managing key documents, communications, and schedules with clarity and accuracy

Contribute to creating seamless, high-quality event experiences that reflect well on the brand and team

To be successful in this role, we’re seeking the following:

Strong organizational skills with the ability to manage multiple moving parts and deadlines at once

High attention to detail, especially when managing logistics, timelines, and vendor communications

A proactive mindset—able to anticipate needs, ask clarifying questions, and flag issues early

Comfort working in fast-paced environments and adjusting plans on the fly

Clear, concise written and verbal communication skills for coordinating across internal teams and external partners

A calm, solutions-oriented approach under pressure

Ability to work autonomously with minimal supervision, while also collaborating effectively with a larger team

A client-service mindset—thinking about the attendee, stakeholder, or brand experience at every step

Key Responsibilities

Coordinate and execute logistics for a variety of corporate events such as corporate parties, ancillary events, sales kick offs, and executive meetings

Onsite support for events at a local Seattle area venue

Collaborate with internal teams and external vendors to ensure all event deliverables are met on time and within budget

Source and liaise with venues, caterers, A/V providers, and other suppliers

Manage a variety of planning documents including event timelines, production schedules, and task trackers

Assist with onsite event execution, including setup, vendor coordination, and attendee support

Contribute to post-event reporting, feedback collection, and lessons learned documentation

Ensure all event materials, branding, and communications are aligned with company standards

Collaborating closely with Campfire leadership to manage operational logistics and organization

Maintain and grow the company’s social media presence, creating event-related content including reels, behind-the-scenes footage, and post-event recaps to drive engagement

Develop and execute a light content calendar that reflects the company’s brand voice and supports event and community initiatives

Ability to rapidly pivot from one project to the next, work well under pressure and manage deadlines

Stay up to date with industry trends and best practices in corporate event planning

Qualifications

3–4 years of experience coordinating corporate or professional events

Bachelor’s degree in marketing or the equivalent combination of education and work experience

Must be based in the

Greater Seattle area

and available for occasional in-person responsibilities and team retreats

Consistency of schedule with flexibility during events. Ability to travel or work off hours/weekends as needed.

Desire and willingness to travel for events (~25% of the time)

Strong understanding of event logistics, timelines, and budgeting

Proficient in tools such as Google Workspace, Slack, Zoom and project management platforms (e.g., Asana, Trello, or Monday.com )

Excellent written and verbal communication skills

Active listener & diplomatic

Ability to synthesize information and communicate succinctly

Ability to manage multiple priorities in a fast-paced environment

Highly self-motivated and comfortable working independently with minimal oversight

Proven ability to problem-solve in real time and stay calm under pressure

Highly resourceful - able to find creative solutions and get things done with limited direction

Dependable and consistent - follows through on details, timelines, and responsibilities

Flexible and adaptable in fast-paced, changing environments

Strong communication and interpersonal skills for working with vendors, teams, and stakeholders

Comfortable managing multiple priorities and shifting deadlines with grace

Self-starter with the ability to work independently and anticipate needs before they arise

Preferred Qualifications

Experience with B2B or tech industry events

Graphic design or basic content editing skills a plus

Familiarity with registration platforms and virtual event tools to act as liaison between registration vendors and client teams
