Xscape Photonics Inc
Xscape Photonics is seeking a highly organized and proactive Office Manager to join our team on a full-time contract basis. This role will support day-to-day office operations, assist with onboarding, vendor coordination, and maintain a well‑organized and efficient workspace.
Key Responsibilities
Mail & Invoicing: Monitor incoming mail, scan rent invoices and other key documents, and coordinate with the accounting team.
New Hire Setup: Prepare workstation setup for new hires, including configuration through TinyPilot.
Office Supplies & Inventory: Track inventory of office and lab supplies, order water, snacks, office materials, and standard lab components as needed.
Onboarding Assistance: Support onboarding process for New Jersey‑based hires by coordinating documentation, equipment, and workspace setup.
Team Support & Culture: Organize team‑building events, office lunches, and internal activities. Maintain a welcoming, professional environment for visitors, vendors, and staff.
Vendor & Facility Coordination: Serve as the point of contact for service providers, vendors, and facility‑related inquiries.
Office and Lab Maintenance: Help enforce and communicate office policies and procedures. Keep common office and lab areas organized and functional.
Requirements
Prior experience in office administration or facilities coordination preferred.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Self‑motivated and able to manage responsibilities independently.
Comfortable using productivity tools and basic tech platforms.
Ability to lift or move light equipment and supplies if needed.
