About the Role
Forrest Solutions is seeking an experienced and organized
Lead Office Assistant & Workflow Coordinator
to support one of our valued clients in Midtown Manhattan. This position plays a key role in ensuring smooth daily office operations, maintaining high service standards, and coordinating team activities in a fast-paced, professional environment.
Key Responsibilities
Team Coordination
Support the Client Relations Supervisor with daily assignments and workload management. Promote teamwork, efficiency, and a service-driven culture. Monitor task completion and assist where necessary to maintain service standards. Office & Organization
Maintain a clean, organized, and professional office environment. Monitor and restock office supplies and stationery to support uninterrupted operations. Customer Service & Support
Provide timely, professional responses to employee inquiries via email, Teams, or phone. Serve as a secondary point of contact for office service concerns and process improvements. Move Coordination
Assist with office and workstation moves, ensuring proper labeling and logistics. Provide moving boxes, name tags, and coordinate with the Move Team for seamless transitions. New Hire Setup
Prepare clean, fully stocked desks for new hires with signage and welcome materials. Coordinate shipping for remote new hire packages when required. Employee Departures
Oversee packing and labeling for departing employees to ensure accurate tracking and organization. Issue Handling & Vendor Coordination
Communicate with the handyman and maintenance teams regarding facility repairs and follow up for completion. Assist with vendor performance tracking and coordinate escorts for on-site vendor visits. Office & Logistics Support
Coordinate meeting room setups, materials, and special projects. Maintain tracking spreadsheets for operational visibility and accountability. Shipping, Inventory & Events
Oversee all outgoing shipments (FedEx, UPS, DHL) and internal pouch mail to other offices. Track and manage toner inventory and distribution to Floor Associates. Support internal events and initiatives, including conference gift bags, cultural events, and desk drops. Required Skills & Qualifications
Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word). Excellent communication and organizational skills. Professional demeanor and strong customer service orientation. Experience in office services, facilities, or administrative coordination preferred. Ability to lift 50+ pounds and perform physical office tasks as needed. Strong attention to detail, multitasking, and data entry accuracy.
