The Staffing Coordinator will provide support to the Nursing Supervisors, Managers, and Directors during the process of ensuring adequate and appropriate nursing staff for each shift. He/She will assist in the collection and filing of documentation related to agency staff and compliance related to various regulatory agency reporting requirements.
Collaboration with Clinical Administrative Supervisors to plan and adjust staffing, facilitate staffing and patient flow huddles, and adjust Kronos daily. Manage daily registry requests and process required paperwork. May also be responsible for facility‑wide scheduling and timekeeping.
Responsibilities
Administrative Responsibilities 30% Ensure records are up to date and maintained according to regulatory guidelines. Maintain workspace neat, organized; electronic record storage when possible. Scan records and store per department guidelines. Maintain Float/ Flex logs for staff. Utilize timekeeping, scheduling, and acuity software to ensure staff are assigned correct units. Assist with scheduling as requested. Forecast staffing / complete projections according to operational guidelines. Complete CAS/Staffer report including maintenance of sick call logs.
Compile reports as requested Daily Operations – 30% Review and respond to all written and verbal communication. Check email, voicemail, Teams. Facilitate staffing huddles. Update Kronos by assigning staff to units worked and sick calls. Complete staffing planning for next shift by 17:30/05:30. Post assignments for nurse leads. Revise staffing needs for upcoming shift. Submit revisions to designated processes in defined time frame.
Team Work/ Collaboration – 20% Collaborate with CAS regularly during shift to ensure staffing aligns with California staffing standards. Communicate with Nurse Leads about staffing changes needing to be made. Escalate to CAS as needed. Collaborate with staffers/CAS at Norris to facilitate staffing across campus.
Other – 20% Consistently adhere to KNOWN standards. Maintain professional conduct. Display proper phone etiquette, use name as identifier when answering. Escalate concerns/issues to Manager or CAS. Non‑urgent email acceptable. Urgent/emergent text/call is the preferred method of communication.
Performs other duties as assigned.
Required Qualifications
High school or equivalent.
1 year experience as a staffing specialist/clerk in an acute hospital setting. (Unit secretary experience may substitute.)
Experience with computerized scheduling and general office procedures.
Proficient computer skills including Microsoft Office.
Effective oral and written communication skills.
Problem solving ability and ability to work independently.
Highly organized and detail oriented.
Ability to effectively multi‑task and perform in a fast‑paced environment with multiple distractions.
Preferred Qualifications
Associate’s degree in a related field.
2 years experience in related field.
Experience utilizing Kronos for payroll preferred.
Required Licenses/Certifications
Fire Life Safety Training (LA City). If no card upon hire, one must be obtained within 30 days and renewed before expiration. Required within LA City only.
The hourly rate range for this position is $22.00 - $34.18.
