Base pay range $80,000.00/yr - $105,000.00/yr

Trustpoint is proud to partner with a nationally recognized law firm in their search for an IP Legal Secretary. This full‑time, onsite position is available in Boston, Chicago, New York, or Washington, DC. The IP Legal Assistant will provide high‑level administrative and client support to attorneys within a busy Intellectual Property practice. Successful candidates will have 5+ years' experience in legal support, with 3+ years' experience specific to patent prosecution.

Responsibilities

Prepare, edit, proofread, and finalize legal documents and correspondence related to patent and trademark matters

Manage attorney calendars, schedule meetings, and coordinate travel arrangements

Process billing, expense reimbursements, and client invoicing

Maintain and organize electronic and paper files in accordance with firm guidelines

Support patent prosecution activities including filing responses, preparing petitions, and coordinating with clients and foreign associates

Prepare and distribute client reports, docket updates, and status summaries

Handle client inquiries and provide exemplary client service in a professional, timely manner

Submit conflict checks, prepare engagement letters, and request new matter numbers

Assist with trademark filings, docket reports, and client invoicing

Provide overflow and backup support to other team members as needed

Qualifications

5+ years of experience in an administrative or legal secretarial position

3+ years of experience supporting patent prosecution in a law firm setting

Strong proficiency with Microsoft Office Suite and document management systems (iManage preferred)

Excellent attention to detail, organization, and communication skills

Ability to manage a high volume of work with accuracy and professionalism

Bachelor’s degree preferred; high school diploma required
