You are an essential resource for our clients, attorneys and paralegals, and a key player in managing case flow, deadlines, and administrative processes.
The ideal candidate will have law firm experience (family law preferred), strong organizational skills, and the ability to thrive where accuracy, empathy, and discretion are essential.
Key Responsibilities Attorney & Paralegal Support
Assist with finalizing declarations with exhibits.
Arrange execution of engagement agreements with experts and other professionals.
Maintain attorney calendars with deadlines, hearings, and trial schedules; add reminders and ticklers as needed.
Save court documents to the client file, email copies to the client, and ensure complete records in firm systems.
Prepare and send legal correspondence as directed, including notices, opening and closing letters, discovery letters, and routine hearing‑related correspondence.
Organize attorney materials for court, mediation, and client meetings.
Draft standardized forms (Notices of Appearance, Withdrawal, Absence/Unavailability) as needed.
Assist with interrogatories by coordinating with clients to obtain responses and documents, compiling responsive materials, and arranging service to opposing counsel.
Assist with mediation preparation including gathering documents and organizing financials.
Assist filing routine documents in multiple counties.
File Opening & Management
Open newly retained clients' files in Clio and OneDrive.
Send a welcome letter/packet and schedule initial meetings.
Request and organize initial financial information.
Create and maintain asset/debt spreadsheets, updating as new documents arrive.
Discovery & Case Preparation
Requesting and tracking financial documents.
Monitor incoming discovery for deficiencies, draft deficiency letters for review, and track compliance deadlines.
Arrange process service, messenger delivery, and court filings (including e‑filing in King, Snohomish, and Pierce Counties).
Perform e‑recording of documents such as Quit Claim Deeds and REETAs.
Calendaring, Reminders and Schedule Management
Calendar Case Schedules (i.e., major case and trial deadlines as dictated by the court orders).
Calendar Amended Case Schedules.
Manage multiple calendars and keep schedules for more than one person, adding reminders to calendars as necessary.
Communication Management
Schedule calls for attorneys with individual clients, conference calls or other calls involving several parties.
Monitor all incoming and outgoing emails from attorneys, paralegals, opposing counsel, court, etc. and independently determine what needs to be done.
Notify attorneys/paralegals of emails necessitating attorney attention along with appropriate time frames for action or response.
Forward emails as appropriate (to client, opposing counsel, etc.).
Coordinate scheduling of mediation with mediator, opposing counsel and client.
Research & Record Requests
Download or order docket files from online court portals.
Request records from municipalities, agencies, or courts.
Order audio recordings and transcripts of hearings.
What We’re Looking For 2+ years’ experience as a legal assistant (family law experience is a plus).
Strong communication skills, both written and verbal.
Excellent organizational abilities with an eye for detail.
Proficiency with Microsoft Office, Adobe, and legal case management software (we use Clio).
Ability to handle sensitive, confidential matters with professionalism and empathy.
