Role Overview The Finance & Accounting Manager will be the organization’s go‑to expert for day‑to‑day financial operations, with full ownership of cash flow management, billing, collections, AP/AR, financial reporting, and process optimization. This is a high‑impact, high‑visibility role where collaboration with leadership is key.

Success in this position means not only keeping the financial engine running smoothly, but also improving systems, advising leadership with timely financial insights, and ensuring accuracy and compliance across all accounting functions.

Key Performance Objectives 1. Ensure Reliable Financial Operations Within First 90 Days

Take full ownership of cash flow tracking, billing processes, AR/AP, and monthly reporting.

Build a detailed understanding of current financial systems and identify initial opportunities for optimization.

Establish accurate weekly and monthly reporting cadence for cash flow, P&L, and KPIs.

2. Streamline Billing and Collections Within 3–6 Months

Improve accuracy and timeliness of prebill and final billing processes across all practice groups.

Partner with attorneys and support teams to ensure time entries are accurate and billing is client‑ready.

Reduce outstanding receivables by implementing a structured, proactive AR follow‑up process.

3. Strengthen Financial Controls and Processes

Evaluate existing workflows and propose updates to ensure compliance with GAAP and internal policies.

Oversee proper vendor management, invoice approval workflows, and payment schedules.

Support annual financial audits and coordinate with external accountants during year‑end close and tax filings.

4. Oversee and Maintain Trust Accounting Compliance

Monitor IOLA/trust account activity in real‑time.

Ensure all deposits, withdrawals, and disbursements are properly documented, authorized, and reconciled.

Maintain trust account ledgers to ensure daily or weekly reconciliation (at minimum monthly) and zero tolerance for errors.

5. Support Strategic Financial Planning

Collaborate with leadership on firm budgeting, forecasting, and cost‑saving initiatives.

Generate financial insights that support data‑driven decision‑making.

Contribute to profitability analysis and long‑term financial planning efforts.

Qualifications

5+ years of experience in accounting or financial operations within a professional services environment/industry.

Strong knowledge of GAAP, trust/IOLA accounting, and financial reporting.

Highly proficient in accounting and billing software, as well as Excel.

Demonstrated ability to manage multiple priorities with accuracy and accountability.

Strong written and verbal communication skills; able to explain financial matters clearly to non‑financial colleagues.

Detail‑oriented, process‑driven, and committed to continuous improvement.
