Job Description We are seeking an experienced Administrative Assistant who is detail-oriented, ethical, and proactive. The ideal candidate is a strong communicator, can manage multiple priorities seamlessly, and takes pride in delivering excellent client service. This role is central to ensuring smooth day-to-day operations and supporting our advisors in providing exceptional value to clients. Responsibilities
Greet and welcome clients and guests in a professional manner Answer and route incoming calls, ensuring proper phone etiquette and detailed message-taking Manage scheduling and coordinate meetings for advisors and clients Open and distribute mail, packages, and incoming correspondence Maintain updated records and organize client files (including scanning meeting notes) Generate reports and prepare materials for advisor meetings Assist clients with general inquiries and provide support as needed Monitor office supplies and place orders as necessary Facilitate electronic document execution using DocuSign Qualifications
3+ years of experience
as an Administrative Assistant or in a related support role Proficient in English (oral and written) Excellent phone etiquette and interpersonal communication skills Strong organizational skills with the ability to multi-task effectively Experience with
scheduling meetings
and managing calendars Advanced knowledge of Microsoft Office (Excel, Word, PowerPoint) Familiarity with
DocuSign
and digital file management Customer service orientation and ability to build strong professional relationships Team player eager and willing to work with others Compensation & Benefits
Salary Range: $45,000-$55,000 401(k) Safe Harbor Plan Health Insurance Disability Insurance Paid Time Off (PTO) 1-hour lunch break
