Position Overview We are currently seeking a highly experienced and detail‑oriented Executive Assistant to serve as a trusted right‑hand to the President of the firm. This role is ideal for someone with strong communication skills, is highly organized, proactive and capable of juggling multiple responsibilities while maintaining a calm and professional demeanor. Key Responsibilities Executive Support: Manage and maintain the President’s calendar. Prioritize and handle incoming communications (emails, calls, letters) on behalf of the President. Prepare and organize documents for meetings, presentations, and legal briefings. Coordinate logistics for meetings, client engagements, and firm events. Handle finance & distribution activities when needed. Operational Support: Track and follow up on tasks, deadlines, and strategic initiatives. Draft correspondence, reports, and memos with high attention to detail. Liaise between the President and other attorneys, department heads, clients, and vendors. Project & Office Coordination: Assist in managing firm‑wide initiatives and special projects. Provide backup support for office receptionists/ administrative staff. Client Relations: Uphold the firm’s client service standards when communicating with clients or handling client‑related matters. Ensure prompt and professional handling of client issues directed to the President. Qualifications 5+ years of experience in a high‑level executive assistant role; legal industry experience preferred. Strong understanding of the legal industry, especially personal injury, is a plus. Excellent written and verbal communication skills. Proficient in Google Suite; familiarity with legal software is a bonus. Strong organizational and multitasking abilities with keen attention to detail. Ability to maintain strict confidentiality and professionalism. Bachelor’s degree preferred, or equivalent experience.
