About the Role:

The HR Assistant provides administrative and operational support to SabCon's Human Resources team and office operations. This entry-level role focuses on accurate recordkeeping, onboarding support, candidate coordination, and day-to-day HR service to employees. The HR Assistant will also perform select office duties such as front-desk backup, supply coordination, and mail handling to help keep the location running smoothly.

ESSENTIAL FUNCTIONS

Maintain and update employee records in BambooHR and related systems such as payroll or timekeeping. Assist with payroll preparation by organizing data, verifying information, and submitting updates for review and approval. Assist with new-hire onboarding including I-9 and E-Verify, new-hire packets, orientation scheduling, and file creation. Coordinate candidate interviews, post roles, screen for basic qualifications, and communicate next steps. Support benefits tasks including enrollment changes, answering basic questions, and routing escalations to HR or Benefits. Prepare standard HR letters and reports such as employment verifications, roster updates, and org charts. Track attendance and PTO and assist with timecard follow-up; partner with payroll on corrections as needed. Maintain complete and compliant personnel files both digitally and physically, including certifications and licenses. Assist with HR programs and events such as open enrollment, trainings, employee recognition, and wellness initiatives. Respond to general HR inquiries and direct employees to appropriate resources with a high level of service. Perform office duties as assigned such as front-desk backup, visitor check-in, mail, supplies, and meeting setup. Support safety and compliance administration including roster updates, MVR reminders, and poster checks. Coordinates and administers the employee health and benefit coverages and programs, payroll functions, and performs other general HR administration duties. Works with hiring managers to coordinate and schedule interviews; preparation of interviews and other selection materials to help ensure a positive candidate experience. Conducts requiring hiring background check and all employment related eligibility and verifications. Provides candidates with an overview of the organization's policies, benefits, and compensation information as well as educate newly hired employees on HR policies, internal procedures, and regulations. Coordinates and facilitates the new hire orientation, onboarding, and offboarding procedures. Ensures compliance with federal, state, and local employment laws and company policies. Maintains the HRIS and Benefit process, including various data entry and administrative duties; assists management and staff with questions regarding the company's internal systems; provides training to management and staff as needed to assist. Updates new enrollees and terminations in benefit programs. Enters benefit deductions into payroll. Perform other projects and duties as assigned. Minimum Qualifications:

High school diploma or equivalent required; Associate's degree in HR or Business preferred. 0-2 years of experience in HR, payroll, or administrative support (internships acceptable). Bilingual English and Spanish. Basic understanding of employment laws such as I-9/E-Verify, FLSA, and record retention. Strong attention to detail, organization, and follow-through; able to manage multiple priorities. Professional communication skills that are clear, friendly, and service oriented. Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort with HRIS or ATS tools such as BambooHR. Ability to handle confidential information with discretion.
