Job Summary:

Summary

The Receptionist/Mail Clerk serves as the first point of contact for visitors and callers while performing a variety of administrative and mailroom duties that support daily operations. This role ensures a welcoming office environment, timely handling of mail and packages, and smooth coordination of office and front desk functions.

Essential Duties and Responsibilities

Primary responsibilities include, but are not limited to:

Front Desk and Reception Greet and assist visitors in a professional and friendly manner; notify appropriate staff of arrivals. Answer, screen, and direct phone calls promptly and courteously. Maintain visitor logs and ensure adherence to building security protocols. Monitor and maintain the cleanliness and organization of the reception area and conference rooms. Mail and Shipping Receive, log, and sort all incoming USPS, UPS, and FedEx mail and packages; distribute to appropriate departments. Weigh, stamp, and prepare outgoing mail and packages in accordance with postal and company guidelines. Maintain postage records and ensure accurate chargeback of postage and shipping costs. Redirect misaddressed items and ensure timely delivery or return. Order and maintain inventory of shipping and office supplies. Daily mail pickup at designated company PO boxes. Administrative and Office Support

Scan incoming correspondence and route to appropriate departments. Assist with document folding, stuffing, and mailing projects as needed. Separate checks or sensitive documents and deliver to designated departments (e.g., Customer Support). Provide general administrative assistance, including filing, copying, and supply management. Perform other duties as assigned to support daily business operations. Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Strong communication and interpersonal skills. Strong attention to detail and organizational skills. Ability to multi-task and manage competing priorities in a fast-paced environment. Dependable, punctual, and able to work independently with minimal supervision. Demonstrated ability to model company Core Values: Accountability, Integrity, Consistency, Service Excellence, and Fun. Education and Experience High school diploma or equivalent required. One (1) year of administrative, clerical, or mailroom experience preferred. Experience using Microsoft Word, Google Suite, and Internet applications required. Physical Demands and Work Environment

Regularly required to sit, stand, walk, and lift/move items up to 20 pounds. Office environment with occasional moderate noise levels.
