Primary Function
The Administrative Assistant provides daily support to office operations by performing various administrative functions, streamlining office processes, and ensuring efficient communication.
Duties & Responsibilities
- Perform general daily administrative tasks to support management and staff.
- Coordinate incoming/outgoing correspondence.
- Receive incoming mail/deliveries and distribute appropriately.
- Package and ship outgoing mail, gifts, etc.
- Answer phone calls and direct inquiries.
- Greet customers and provide exceptional customer service.
- Maintain and facilitate repair of office equipment.
- Coordinate office and kitchen supplies and inventory, ensuring all necessary materials are stocked.
- Coordinate customer relations inventory and company branded merchandise are stocked as necessary.
- Assist with accounting tasks such as invoicing, tracking expenses, etc.
- Improve office processes and procedures for greater efficiency and productivity.
Communication
- Serve as the point of contact for inquiries, visitors, vendors, building announcements, etc.
- Liaison to office building management to coordinate building access, parking assignments, repairs, cleaning, deliveries, etc.
Planning And Scheduling
- Coordinate meetings, appointments, travel arrangements, luncheons, events and other activities as required.
Document Control And Record Retention
- Prepare and edit reports, presentations, and other pertinent documents; retain records as scheduled.
- Maintain and update company databases and contact lists.
- Maintain appropriate filing systems.
Other duties, projects, etc., as assigned.
Qualifications
High School Diploma or GED is required. An associate’s degree in business, or related field, is preferred. Two years’ experience in an office environment is required.
- Knowledge and application of corporate compliance rules, regulations, policies, and procedures.
- Microsoft applications (Word, Outlook, Access, Excel, PowerPoint, etc.).
- Strong organization and prioritization skills.
- Strong communication and organizational skills with attention to detail.
- Strong interpersonal/customer service skills.
- Ability to read, write and speak English in a clear, concise manner.
- Authorized to work in the United States without sponsorship.
Physical Requirements
- Lift up to 10 pounds regularly.
- Regularly required to sit, stand, or walk in the office.
- Bend, reach, kneel, and stoop occasionally.
- Schedule is Monday through Friday, but occasional overtime may be required based on business needs.
Work Environment
- Work is performed indoors (climate controlled) in a professional office environment.
- Occasional travel to manufacturing sites (5%).
