Executive Assistant with Bookkeeping Experience – CPA Firm
We are a growth‑oriented CPA firm seeking an organized, detail‑oriented Executive Assistant with strong bookkeeping experience to support firm operations and leadership. This role offers a dynamic blend of executive administrative support and hands‑on bookkeeping tasks, playing a vital role in the smooth functioning of the firm.
Position Overview
As the Executive Assistant, you will provide high-level administrative support to firm leadership while managing essential bookkeeping duties. This hybrid role requires excellent organizational skills, proficiency with accounting software, and the ability to multitask in a fast‑paced professional environment.
Key Responsibilities
- Manage executive calendars, appointments, meetings, and communications to optimize leadership’s time and priorities.
- Handle client and internal correspondence professionally and promptly, serving as a primary point of contact.
- Perform bookkeeping tasks including accounts payable/receivable, bank reconciliations, and maintaining accurate financial records.
- Utilize QuickBooks Online and other software to keep financial data organized and up-to-date.
- Organize and maintain confidential and compliance‑related documents in line with firm standards.
- Support tax workflow coordination and document management during tax season.
- Perform general office duties such as supplies management, filing, and project coordination as needed.
Qualifications
- 3+ years experience as an Executive Assistant or Administrative Assistant, preferably in a CPA firm or accounting environment.
- Strong bookkeeping experience with QuickBooks Online software.
- Proficiency in Google Workspace (Docs, Sheets, Calendar) and document management tools.
- Excellent organizational, time management, and multitasking abilities.
- Strong written and verbal communication skills with professional client‑relations experience.
- Ability to handle confidential information with discretion and maintain compliance rigor.
- Proactive, detail‑oriented, and able to work independently with minimal supervision.
- Part‑time with the possibility of full‑time.
